The Credit Cards by Customer Report helps you view and manage all saved credit cards on file for your customers in one place. This report makes it easy to identify which cards are stored in ServiceCore, track upcoming expiration dates, and stay ahead of potential payment issues.
By reviewing this report regularly, you can quickly see which cards are about to expire, contact customers to update their payment information, and reduce failed or interrupted payments.
Before You Start

Key Features
- Summary: Displays the total number of cards on file and high-level information about their expiration status.
- Filtering Options: Filter results by options such as expiration date range, credit card type, or customer.
- Credit Card Details Table: Provides additional information about each saved card, including expiration date, last payment amount, and total overdue balance for the customer.
Run the Credit Cards by Customer Report
- Click “Reports” in the top menu.
- Scroll down and find the Credit Card by Customer listed under Customer Service and Sales Reports.
- Click the name of the report or the “Open Report” icon to open and run the report.
Credit Card by Customer Report Summary
Once the report loads, the summary at the top gives you a quick snapshot of your customer credit cards on file.
This section provides key insights, including:
- Total Credit Cards: The number of credit cards on file.
- Cards On Recurring Invoices And Expiring in 30 Days: The total number of credit cards on file that are expiring within 30 days and are connected to a recurring invoice.
- Number of Credit Cards Expirations within next days: The graph provides an overview of expiration timelines, organized into categories such as Expired, Expires in 0-30 days, 31-60 days, and beyond.

Report Filters
On the right-side of the report, there are options to customize your view of the report to focus on data that matters most.

Credit Card Expiration Date: Filter by when credit cards are set to expire.
- TIP: The report defaults to show all cards on file. If you’re only interested in cards that are set to expire in the next 30 days, you can customize the date range to focus on those customers.
- Customer Full Name: Narrow results to show credit cards on file for a specific customer.
- Credit Card Type: Filter results to display specific credit card types, such as Visa, Mastercard, or American Express.
- Company Name: Use this filter to choose which company’s results to view. If you only manage one company in ServiceCore, this filter can be ignored.
Credit Cards Details Table
This table provides detailed information about each saved credit card in the report. Here you’ll find details like the card type and expiration date, the last payment amount, and any overdue charges linked to the customer.
Sort a Section of the Report
After using the filters based on your preferences, you have additional options to sort the data that is presented in the report in the different report sections.
To sort the report summary graph section:
- Hover over the section so a menu appears in the top right corner of the section.
- Click the three vertical dots.
- In the menu that appears, hover over “Sort.”

Select your “Sort By” preference.
The table in the report works a little differently as you can use the headers of the columns to sort.
To sort sections using the column headers:
- Click the options icon next to the header.
- Select your sort preference or click the gear icon for additional options.
- Each column can be sorted either alphabetically A-Z or Z-A OR numerically ascending or descending. For instance, the Overdue column will sort numerically while the Customer Name column will sort alphabetically.

Export or Send the Credit Cards by Customer Report
Export the Report
Once you have a section of your report displaying the information you want, you can download it for your records.
- Hover over the section so a menu appears in the top right corner of the table.
- Click the three vertical dots.
- In the menu that appears, hover over “Export.”
- Select your file preference in the list of options that appear in the dropdown and the report will download in the file format you selected.
- When exporting as a PDF, you can choose Portrait or Landscape layout.
Please Note: You can export up to 1 million rows at a time. If your table contains more than 1 million rows, we recommend using filters to break the data into smaller, exportable chunks.
Send the Report
In addition to downloading a section of the report to your computer, you can also email a section.
- Hover over the section so a menu appears in the top right corner of the table.
- Click the three vertical dots.
- In the menu that appears, hover over “Export.”

Click “Export…” at the bottom of the list under the Send section.

In the pop-up that appears, click into the Destination field and select “Email” in the drop-down menu.
- Enter the email address of the recipient.

Click “Export” to send an email with the report attached.
Please Note: On the final screen, you can also customize the email subject, select specific attachments and file types, or send the report as a .zip file.
