ServiceCore Pro Plan offers enhanced reporting capabilities through Pro Reports, enabling users with the appropriate roles and permissions to schedule and manage report deliveries. This article guides you through the process of scheduling a report, ensuring your team receives timely updates directly to their inboxes.
Before You Start
Here are some things to know before you schedule a report:
- Subscription Requirement: Pro Reports features are exclusively available to customers subscribed to the ServiceCore Pro Plan. Learn more about the ServiceCore Pro Plan here.
- User Permissions: Access to edit and customize reports is granted to users with roles that include report access.
- Scheduling Reports: You don’t need to be a ServiceCore user to be scheduled to receive reports. However, to schedule a report, the report must first be copied into "My Reports". For guidance on copying a report, refer to our Copy a Report article.
Scheduling a Report: Step-by-Step Guide
- Access the Report: Navigate to the bottom left corner of a copied report and click on the folder icon.
- Schedule Exports: After clicking the folder icon, select "Schedule Exports" from the options that appear.
- Schedule Exports Pop-Up: This window shows any existing schedules for this report. To create a new one, click "Add Schedule".
- Attachment Selection: Typically, the "overview" is chosen. Here, you can select the report's format and layout for the email attachment.
- Recipient Details: In the "Recipient" section, enter the email address(es) of the report recipient(s). For multiple recipients, separate email addresses with a comma. You can also customize the email's subject line in the "Subject" section and add a personalized message in the "Message" section.
- Scheduling Frequency: Choose how often you’d like to send the report. Options include daily, weekly, monthly, or custom schedules.
- Create Schedule: Click "Create" to initiate the schedule.
- Managing Schedules: In the Schedule Exports pop-up, view your new and existing schedules. Here, you can create additional schedules, or edit, pause, or send reports immediately.
Advanced Scheduling Settings
For more precise control, activate the "Condition" toggle in step 5 to access advanced scheduling options. This allows setting specific conditions under which the report will be sent, such as sending a report every Monday if a rental is created without a recurring invoice. It's advisable to test your condition to ensure it matches the desired criteria before proceeding.
Once your advanced settings are complete, move on to step 6 above to set your frequency. Remember, effective scheduling ensures that critical information reaches the right people at the right time, enhancing decision-making and operational efficiency.
