If you wonder about the best technician to choose when scheduling jobs, Schedule Suggestion can take out the guesswork. Schedule Suggestion displays valuable information such as which existing job is closest, similar jobs by type, and total distance traveled. You can use this information to reduce total miles traveled, balance your drivers' workloads and make the day more fuel efficient.
In this article, you'll learn how to use Schedule Suggestion.
Before You Start
Here are some things to know before you use Schedule Suggestion:
- You must have Manager, Admin or Owner level permission to use this feature
- Miles shown for Closest Job and Total Daily Miles are "as the crow flies" and do not factor in natural barriers (such as lakes or mountains) or roads and bridges that may not be appropriate for your trucks
How Schedule Suggestion Works
Schedule Suggestion works by:
- Taking the site location of the new job you are creating
- Looking at all the jobs you already have scheduled
- Displaying existing jobs with the closest location to your new job
The information that gets displayed for closes jobs includes:
- Technician name
- Distance to job site
- Type of job
- Scheduled Date
- Total Same Day Jobs for the technician
- Total daily miles for the technician
Use Schedule Suggestion
For a New Job
To use Schedule Suggestion for a new job, follow these steps:
- Navigate to Create Job by clicking the (+) icon in the ServiceCore Header
- From the list of options that appear, click Create Job
- Enter information into the Select job type, P.O. number and Job name fields if you like (these are optional)
- If this is a new customer, click add a new customer below the customer field
- If this is an existing customer, click inside the Customer field and start typing to search existing customers
- Click on the Customer you want
- Choose a company division if applicable (this is optional)
- Click into or start typing in the Site field to display a list of sites for this customer
- Click on the Address where this new job will take place
- If you do not see the site after searching for it, click Add a new site or Search all sites
- If the job must be scheduled for a specific date, click in the Date field and use the date picker to choose the correct date (click on the month name to jump to other months)
- Enter the start and end Time if applicable
- Check the boxes if this is an Emergency Job or a Repeat Job
- Skip the technician field
- Click Schedule Suggestion below the Technician dropdown (if this link is grayed out, make sure you have selected a site location)
- In the Schedule Suggestion lightbox that appears, you will see a map with pins and a list of jobs listed from closest to farthest
- If you want to see jobs for the full week, click the Week view button below the map
- On the week view, you will see map pins and jobs color-coded by day of week
- Use the information on this screen to choose the closest job by type, distance, workload, etc.
- Click the radio button for the row showing the technician with the closest or most similar job
- Scroll down and click Select Technician
- Return to the create job screen and verify that the technician and date are correct
- Continue filling out the rest of the form
- Once you're finished, click Schedule Job or Start Invoice
For A New Rental Job
To use Schedule Suggestion for a new rental job, follow these steps:
- Navigate to Create Job by clicking the (+) icon in the ServiceCore Header
- From the list of options that appear, click Create Rental
- If this is a new customer, click add a new customer below the customer field
- If this is an existing customer, click inside the Customer field and start typing to search existing customers
- Click on the Customer you want
- Click into or start typing in the Site field to display a list of sites for this customer
- Click on the Address where this new job will take place
- If you do not see the site after searching for it, click Add a new site or Search all sites
- Enter a PO Number if applicable (this is optional)
- Click the Delivery job type dropdown and choose the delivery job type from the list of options that appear
- If the delivery job must be scheduled for a specific date, click in the Date field and use the date picker to choose the correct date (click on the month name to jump to other months)
- Click Schedule Suggestion below the Date field (if this link is grayed out, make sure you have selected a site location)
- In the Schedule Suggestion lightbox that appears, you will see a map with pins and a list of jobs listed from closest to farthest
- If you want to see jobs for the full week, click the Week view button below the map
- On the week view, you will see map pins and jobs color-coded by day of week
- Use the information on this screen to choose the closest job by type, distance, workload, etc.
- Click the radio button for the row showing the technician with the closest or most similar job
- Scroll down and click Select Technician
- Return to the create job screen and verify that the technician and date are correct
- Enter the start and end Delivery time if applicable
- Click Schedule Suggestion below the Date field for the Pick-Up Job and any Service Jobs (if this link is grayed out, make sure you have selected a site location)
- Continue filling out the rest of the form
- Once you're finished, click Start Invoice or View Rental
From the Schedule
If you need to reschedule a job, you can use Schedule Suggestion from within the Schedule. This makes it easy to choose an alternate technician or date for an existing job.
To use Schedule Suggestion to reschedule a job from the schedule, follow these steps:
- Navigate to the Schedule
- Select the Week View, Day View or List View to view your jobs
- Locate the job you'd like to reschedule
- Hover over the job
- Click the Calendar Icon
- In the Edit job schedule lightbox that appears, click Schedule Suggestion below the Day of field
- In the Schedule Suggestion lightbox that appears, you will see a map with pins and a list of jobs listed from closest to farthest
- If you want to see jobs for the full week, click the Week view button below the map
- On the week view, you will see map pins and jobs color-coded by day of week
- Use the information on this screen to choose the closest job by type, distance, workload, etc.
- Click the radio button for the row showing the technician with the closest or most similar job
- Once you've made your selection. scroll down and click Select Technician
- Return to the Edit job Schedule lightbox and verify that day of and technician are correct
- Click Reschedule
