It's possible to delete inventory in ServiceCore, however, we don't always recommend it since you might lose important inventory-related data. Alternative options include editing or deactivating inventory. Deleting inventory cannot be undone, so please only delete inventory when you are comfortable losing the inventory-related information and details.
In this article, you'll learn the drawbacks of inventory deletion, and how to delete inventory if you need to.
Drawbacks of Inventory Deletion
Before you delete inventory, keep these drawbacks in mind:
- Permanent data loss
If you delete inventory, you'll lose the history of how that inventory was used on previous jobs. Deleting inventory is permanent. Once you delete inventory, it will no longer exist anywhere in ServiceCore and you will not be able to get back to the inventory at a later time. - Broken links
If you delete inventory, any links to and from that inventory product or individual inventory item on an invoice will no longer function properly, which can lead to unexpected behavior. You may end up with an invoice on file that has no inventory-related information, and incorrect service and rental line items, because the inventory the invoice was based on no longer exists. - Inaccurate inventory availability
If you delete inventory from a rental job, you may experience invalid product availability errors. Your inventory availability is calculated automatically based on inventory items being associated with a job, especially delivery and pick-up jobs. When you delete inventory, the inventory number can become inaccurate. - Customer and staff confusion
If you send an invoice to a customer with information about inventory that becomes deleted, there will be no way to reference that specific inventory later on. There can also be drawbacks for customer service and management staff if inventory is deleted and these individuals need to reference the inventory at a later time.
Alternative options
There are a few alternatives to inventory deletion that keep your data and inventory-related information intact, including:
- Edit inventory products and individual inventory items instead of deleting them
- Deactivate inventory (you must contact ServiceCore to reactivate items)
