After a Job has been created in ServiceCore, you can edit, reschedule, copy, end, or delete it as needed. Managing jobs allows you to adjust your Schedule, handle customer changes, and maintain accurate records.
Before You Start
Here are a few things to know before you continue:
- The Job must already exist.
- Some actions for a Job might be limited, depending on the job’s status.
- To see if you have user permissions to manage jobs, please review this article.
Edit a Job
After creating a job, you can edit its details at any time if changes need to occur.
- Open the job's details page.
- Click the "Actions" button.
- Hover over "Edit" in the drop-down menu.
-
Click "Edit Job."
- Make any necessary changes to the job such as site, services, and notes.
- Click the "Save" button.
If you edit a job that is part of a repeat series, a window will appear prompting you to choose whether your changes apply only to that job or to that job and all future scheduled jobs in the series.
Reschedule a Job
If a customer requests a new service date, or if you need to reroute a technician after dispatch, ServiceCore allows you to change the scheduled date of a Job.
Reschedule a Job from the Schedule
-
On the Schedule, find and hover over the job. You will need to tap the job if you are using a touchscreen.
-
Click the “Edit job schedule” icon.
- In the window that appears, click the “Calendar” icon and select a new date for the job.
- If the job date is flexible, click “Schedule Suggestion” after selecting a date to view technician availability. To learn more, please review this article about getting schedule suggestions.
- Assign a new Technician for the job. (Optional) If you do not assign a technician for the job, it will appear as unassigned on your Schedule.
- Check the box to Send Appointment Confirmation Email to Customer. (Optional)
-
Click the “Reschedule” button to save your changes.
The job will update on the Schedule.
Reschedule from the Job Details Page
In addition to rescheduling a job from the Schedule, another common method is from the job’s details page.
On a job’s details page:
- Click the “Actions” button.
- Hover over “Scheduling” in the drop-down menu.
-
Click “Reschedule.”
The same window will then appear where you can change the date of the job, edit technician, and send a confirmation email to the customer.
Copy a Job
Copying a job allows you to quickly create a new job using the same details as an existing job. This can be especially helpful if you do routine work for a customer on an irregular basis.
- Open the job’s details page.
- Click the “Actions” button.
-
Click “Copy Job” in the drop-down menu.
- This will navigate you to the Create New Job form with all the original job details filled out.
- Make all necessary changes to the job details such as date, services, and notes.
-
Click the “Save” button to create the new job.
A common way to start the process of copying a job is from the Jobs tab on a customer’s profile.
End a Repeat Job
If a job is part of a recurring repeat job schedule, you can stop future occurrences while keeping past and current jobs intact. This is helpful for when you do not know the end of a repeat job when it was originally created.
- Open one of the scheduled repeat jobs.
- Click the “Actions” button.
- Hover over “Scheduling” in the drop-down menu.
-
Click “End Repeat Job.”
- In the window that appears, select an End On date. All jobs before that date will remain on the Schedule and all jobs after will be deleted.
-
Click “End Repeat Job.”
After ending the repeat Job, the remaining scheduled occurrences will display the selected end date.
Please Note: Ending a repeat job does not delete any prior completed jobs in the repeat series. If the repeat job was part of a route, ending the repeat series will remove future occurrences on that route.
Delete a Job Overview
Although it is possible to delete a job in ServiceCore, we don't always recommend it since you might lose important job-related data. Consider alternative options when appropriate. Alternative options include rescheduling a job or cancelling a job. Deleting a job cannot be undone, so please only delete jobs when you are comfortable losing the job-related information and details.
Drawbacks of Deleting a Job
Before you delete a job, keep these drawbacks in mind:
Permanent Data Loss
If you delete a job, you'll lose the job history, including any driver notes and job completion notes. You'll also lose any information about services performed and job duration. Deleting a job is permanent. Once you delete a job, it will no longer exist anywhere in ServiceCore and you will not be able to get back to the job at a later time.
Broken Links
If you delete a job, any links to and from that job on an invoice will no longer function properly, which can lead to unexpected behavior. You may end up with an invoice on file that has no job-related information, and no service line items, because the job the invoice was based on no longer exists.
Inaccurate Inventory Availability
If you delete a rental job that uses inventory, you may experience invalid product availability errors. Your inventory availability is calculated automatically based on inventory items being associated with a job, especially delivery and pick-up jobs. When you delete a rental job, the inventory number can become inaccurate.
Customer and Staff Confusion
If you send an invoice to a customer for a job that is deleted, there will be no way to reference that job later on. There can also be drawbacks for customer service, dispatch, and management staff if a job is deleted and these individuals need to reference the job at a later time.
Alternative Options to Deleting a Job
There are a few alternatives to job deletion that keep your data and job-related information intact, including:
- Reschedule the Job
- Set the Job Completion Status to Partial Service or Unable to Service.
- Cancel the Job
Delete a Job
After confirming that you would like to delete a job, follow these steps:
- Open the job’s details page.
- Click the “Actions” button.
- Hover over “Edit” in the drop-down menu.
-
Click “Delete.”
-
In the window that appears, click the “Confirm Delete” button.
The job, and its records, will be permanently deleted. For repeat jobs, deleting will remove only the selected occurrence.
