Using the New Refund Workflow (Beta Access Only)

The new refund workflow is currently in beta. This update simplifies how you issue refunds, with a cleaner interface and smarter automation behind the scenes. Here's what’s changed.


Before You Start

  • This update is only available to accounts in the Refunds V2 beta.

  • You’ll still see your old refunds—no need to worry about losing data.

  • All newly created refunds will follow the new process.

What’s New in Refunds V2

1. New Tabs: Legacy vs. New Refunds

Refunds are now split into two tabs:

  • Legacy Refunds: Refunds created before the beta update.

  • New Refunds: Refunds created using the updated workflow.

 

This helps you keep past and future records organized.


2. No More Line Items

Creating a refund is now faster. You no longer have to add line items. Just select:

  • An invoice (for applied payments)

  • Or an unapplied payment (if it hasn’t been tied to an invoice)


3. New: Take Replacement Payment Option

If you're refunding a payment but want to collect a new one (for example, using a different payment method):

  • Select Take Replacement Payment from the refund.

  • Click Go to Payment to record the new payment right away.


4. Applied Payment Refunds Reopen the Invoice

Refunding a payment that was already applied to an invoice?

  • That invoice will now automatically re-open.

Before this update, it stayed marked as paid—this fixes that.


5. Unapplied Payment Refunds Remove the Credit

Refunding an unapplied payment?

  • The associated customer credit is now automatically removed.

Previously, that credit would remain in the account even after a refund—this change prevents accidental double-refunds.
