Enabling Autopay for Recurring Invoices

To ensure on-time payments and streamline your billing process, you can enroll customers in autopay. With ServiceCore’s Autopay feature, you can securely store a customer’s payment method and automatically charge them when a recurring invoice is generated.

Before You Start

Here are a few things to know before you continue:

  • To see if you have access to this feature in ServiceCore, please check out this article on user permission levels. 
  • You must be set up with Fiserv, our authorized payment processor, to be processing online payments.
  • For more information about using Fiserv with ServiceCore, contact our Payments team at ServiceCorePay@servicecore.com.
  • Before enabling autopay for a customer, you first must have a payment method saved to the customer’s profile. To learn more about saving a customer’s payment details, please check out this article

About Autopay

Autopay is available for customers using ServiceCorePay. Once autopay is enabled for a recurring invoice, the customer’s saved payment method is automatically charged when invoices are generated during batch billing.

Customers will receive:

  • A copy of the invoice marked Paid.
  • An email receipt.

Enable Autopay on a Recurring Invoice

To turn on autopay during recurring invoice creation:

  1. Create or find a rental.
  2. Click Create Recurring Invoice.

  1. Fill in the invoice details.
  2. Between the Billing Address and Services sections, check the box labeled Enable Autopay for Recurring Invoices.
  3. Select payment method, using a dropdown if there are multiple options for the customer.

  1. Click Save.

When batch billing runs, ServiceCore will generate the invoice, automatically charge the selected payment method, mark the invoice as Paid, and email a receipt to the customer.

Update Existing Recurring Invoices

Recurring invoice templates created before enrolling in ServiceCore Pay do not have Autopay enabled by default. 

To update existing invoice templates and enable autopay:

  1. Go to rental with the recurring invoice.
  2. Scroll down and click Edit Recurring Invoice.

  1. Between the Billing Address and Services sections, check the box labeled Enable Autopay for Recurring Invoices.
  2. Select payment method, using a dropdown if there are multiple options for the customer.

  1. Click Save.

Find Recurring Invoices Without Autopay Enabled

To quickly identify rentals that have recurring invoices but do not have Autopay enabled:

  1. Go to Reports.
  2. Located within Financial Reports, run the Rental Overview Report.

  1. Using the filtering options:
    • Set Recurring Invoice to Yes.
    • Set Autopay to No.
  2. The list will update automatically with rentals that have recurring invoices without autopay enabled. 
  3. To enable autopay for a recurring invoice, click the relevant Rental Number and open rental in a new tab.

  1. Edit the recurring invoice, Enable Autopay on the Recurring Invoice, and select a saved payment method.
  2. Click Save.
