Using the New Credit Memo Workflow (Beta Access Only)

Beta Only: This feature is only available to Refunds Workflow beta testers. If you’re not part of the beta, you won’t see this in your account yet.

The new credit memo workflow is part of the Refunds beta in ServiceCore. It’s designed to simplify how you create and apply credit memos—with fewer steps and more control.


Before You Start

  • This update is only available to accounts in the Refunds Workflow beta.
  • Credit memos still work the same way. This update just makes the process faster and easier:
    • Create and apply credit memos directly from an invoice
    • Generate refunds as part of the credit memo process

What’s New in the Credit Memo Workflow

1. Create a Credit Memo Directly from an Invoice

  • Click Create Credit Memo from the invoice action dropdown.
  • The system will pull in the invoice details, including line items.
  • Surcharges will not be included.

2. Pre-Populated Line Items

  • Line items from the invoice are now added automatically.
  • You can still edit or remove any line items before completing the credit memo.

3. Unapply Existing Payments (If Needed)

  • If the invoice has no payments, skip this step.
  • If the invoice has already been paid, you can:
    • Unapply the amount that was paid.
    • Usually, this should match the amount you're crediting.

4. Choose to Refund or Leave as Unapplied

After creating the credit memo, you have two options:

Option A: Leave as Unapplied Payment

  • Creates the credit memo
  • Keeps the credited amount as an unapplied payment on the customer’s account

Option B: Create a Refund

  • Creates the credit memo
  • Refunds the credited amount to the customer

5. Apply the Credit

Click Apply Credit to finish the process.
