After you create a refund, ServiceCore allows you to make changes to the refund later by allowing you to edit the refund. You have the option to edit various pieces of information on the refund, including which services are on the refund, refund method, and more.
In this article, you'll learn how to edit a refund. You'll also learn about what information you can or cannot change based on the refund method, if it was a processed credit card refund, or if your account syncs with QuickBooks.
Before You Start
Here are some things to know before you edit a refund in ServiceCore:
- You must have Manager, Admin or Owner level permission to edit a refund
- Before you can edit a refund, you must first Create a Refund
- You cannot edit the customer linked to a refund, instead you will need to void or delete the refund and record it again for the correct customer
- You cannot edit a refund to change the amount to $0.00 (in order to "zero out" the refund)
- You cannot edit a refund to turn a non-processed refund into a processed credit card refund
- If you need to do this, delete the original refund first and then create the refund again
- Please read over the special rules that apply based on refund type and if your account syncs with QuickBooks:
Processed Credit Card Refunds
For credit card refunds processed through Clover Connect or Authorize.net, please note that the following information cannot be edited:
- Customer
- Refund Date
- Refund Method
- Refund Amount
Accounts that Sync with QuickBooks Online
If your account syncs with QuickBooks Online (QBO), please keep these items in mind:
- You will not be able to edit refunds imported from QBO to ServiceCore (for example when you initially onboarded with ServiceCore and QBO refunds were imported into your ServiceCore account). If you attempt to edit these refunds, you will see an error message.
- For refunds that were recorded originally in ServiceCore, once you edit that refund from within ServiceCore, the refund will re-sync to QBO with any changes the occurred from editing. This includes changes to amount, invoices paid, amount of each invoice paid, etc..
Accounts that Sync with QuickBooks Desktop
If your account syncs with QuickBooks Desktop (QBD), please keep these items in mind:
- For refund that were recorded originally in ServiceCore, once you edit that refund from within ServiceCore, the refund will not sync to QBD
- You will see a warning that this refund will fail to sync to QBD
- If you proceed to save the refund, you will need to manually update that refund in your QBD account to have it match the refund in ServiceCore
How to Edit a Refund
Follow these steps to edit a refund:
- Navigate to Accounting > Refunds
- Locate the refund you want to edit
- Click the Refund Number link
- Review the refund to make sure it's the refund you want to edit
- Click the down arrow next to Print Refund
- Click Edit Refund from the list of options that appear
- Edit the refund information (for restrictions on what can and cannot be edited see the Before You Start section above)
- Once you're finished, click Save
