The Audit Log Deletion History Report shows you which records in your account were deleted or deactivated, when it happened, and which user is on the event. It's built for owners and admins who need to track down a missing record.
Each row represents one record affected, not one click. A single action or workflow can remove many records at once. For example, editing a repeating job series or completing a final rental pickup can remove several future jobs, and each job shows up as its own row. High volume is a reason to look closer, not proof that someone clicked delete that many times.
This report is a who, what, and when list. It doesn't reopen or restore deleted records, and there are no links back to records that have been removed.
Before You Start
- To see if you have access to this feature in ServiceCore, please check out this article on user permission levels.
- This report is only available to Owner and Admin user permission levels.
- Audit history starts in April 2026. Deletions and deactivations from before that date won't appear in this report.
- Dates and times display in your local time zone. The default date range is the last 30 days including today, with the newest events listed first.
- Click "Refresh Data" at any time to pull the latest events. New deletions also appear automatically about every 5 minutes. [FLAG: "Refresh Data" button label is unconfirmed. You said you think there's a refresh button, but this hasn't been verified against a live screenshot. Confirm the exact label before publishing.]
- ServiceCore staff and import users can appear on some events. They're left in so the log stays complete.

Run the Audit Log Deletion History Report
To run the Audit Log Deletion History Report, follow these steps:
- Click “Reports” in the top menu.
- Scroll down and locate the Audit Log Deletion History Report under the Audit Log Reports section.
- Click the name of the report or the “Open Report” icon to run the report.
Audit Log Deletion History Report Filters
The filter bar at the top of the report controls what shows in the table. Deletion Date and User stay in sync as you switch tabs. Entity Category resets on each tab, since every tab already covers its own set of record types.
- Deletion Date: Defaults to the last 30 days including today. Audit history starts in April 2026, so nothing before that will show up.
- User: Filter to a specific user's name or email. Leave this open to see every event in range, including events with no user attached.
- Entity Category: Filter to one record type on the active tab. For example, on Customer Records, you can narrow the table to just Customers or just Sites.
Report Tables
When you open and run the report, you'll land on the Customer Records tab by default. Click any of the 5 tabs at the top of the report to switch between views: Customer Records, Operations, Accounting, Inventory, and Estimates. Each table scrolls up and down only, so every column is visible without scrolling side to side.
Customer Records
The Customer Records tab shows deleted and deactivated Customers and Sites.
Each row represents one record, with columns for customer name, customer number, site number, deletion timestamp, attribution, user full name, user email, and status. Customer Number identifies the customer, while Site Number only appears on Site rows.
Operations
The Operations tab shows deleted Jobs and Rentals.
Each row represents one record, with columns for doc number, customer name, deletion timestamp, attribution, user full name, and user email. Some jobs won't show a customer name if they were tied to a destination, like a yard or disposal site, instead of a billed customer. Use the job number to identify those instead.
Accounting
The Accounting tab shows deleted Billing Groups, Recurring Invoices, Invoices, Multi-Site Invoices, Payments, Credit Memos, and Refunds.
Each row represents one record, with columns for doc number, customer name, amount, deletion timestamp, attribution, user full name, and user email.
Please Note: Payment deletion volume can look high on this tab. Many payment records are created and removed automatically within seconds as part of normal batch billing. High volume is a reason to look closer, not proof that someone manually deleted that many payments. Reach out to Support if you see volume that looks unusual for your account.
Inventory
The Inventory tab shows deleted and deactivated Inventory Products and Inventory Items.
Each row represents one record, with columns for product name, serial number, deletion timestamp, attribution, user full name, user email, and status. Serial Number only applies to itemized units, so non-itemized products won't show one.
Estimates
The Estimates tab shows deleted Estimates and Estimates (Legacy).
Each row represents one record, with columns for estimate number, customer name, deletion timestamp, attribution, user full name, and user email. Estimates always show as Deleted, since there's currently no way to reactivate one after it's removed.
Report Terminology
Deleted vs. Deactivated
- Deleted: The record is gone for good. You cannot recover it in ServiceCore.
- Deactivated: The record is inactive but can be turned back on. This applies to Customers, Inventory Products, and Inventory Items.
Status
On the Customer Records and Inventory tabs, a Status column shows whether each record was deleted or deactivated.
Please Note: Status only shows as a column on the Customer Records and Inventory tabs. Every record on the other tabs shows as Deleted, since those record types can't be reactivated.
User on the Event
Every row shows the user tied to that event, including their full name and email. Some rows come from a workflow that started with a single user action, like editing a repeating job series or completing a final rental pickup. In cases like these, the report shows the user tied to whatever triggered the removal, but it doesn't always explain the full chain of events behind it.
Sort the Audit Log Deletion History Report
After using the filters based on your preferences, you have additional options to sort the data that is presented in each of the tables.
To sort the data in a table using the column headers:
- Click the options icon next to the header.
- Select your sort preference or click the gear icon for additional options.
- Each column can be sorted either alphabetically A-Z or Z-A OR numerically ascending or descending. For instance, the Amount column will sort numerically while the Customer Name column will sort alphabetically.
Export or Send the Audit Log Deletion History Report
You can download or email the tables in the Audit Log Deletion History Report.
Export the Report
Once you have the table in the report displaying the information you want, you can download it for your records.
- Hover over the table so a menu appears in the top right corner of the table.
- Click the three vertical dots.
- In the menu that appears, hover over “Export.”
- Select your file preference in the list of options that appear in the dropdown and the report will download in the file format you selected.
- When exporting as a PDF, you can choose Portrait or Landscape layout.
Please Note: You can export up to 1 million rows at a time. If your table contains more than 1 million rows, we recommend using filters to break the data into smaller, exportable chunks.
Send the Report
In addition to downloading the table in the report to your computer, you can also email it.
- Hover over the table so a menu appears in the top right corner of the table.
- Click the three vertical dots.
- In the menu that appears, hover over “Export.”

Click “Export…” at the bottom of the list under the Send section.

In the pop-up that appears, click into the Destination field and select “Email” in the drop-down menu.
- Enter the email address of the recipient.

Click “Export” to send an email with the report attached.
Please Note: On the final screen, you can also customize the email subject and message, select specific attachments and file types, or send the report as a .zip file.
