Audit Log Overview and FAQs

Audit Log is rolling out in phases. If you don't see it in your ServiceCore account yet, you will soon.

Audit Log shows you exactly what changed on a record, who changed it, and when, right on the page you're already looking at. Instead of just knowing that something changed, you can see the field that changed, its previous value, and its new value, side by side.

This is built for looking back at something that already happened, not for watching your account in real time. If you're trying to figure out why an invoice total changed, who changed the date of a job, or see updates that occurred on a rental, Audit Log is where you go to find out.

Before You Start

Here are a few things to know before you continue:

  • To see if you have access to this feature in ServiceCore, please check out this article on user permission levels.
  • Your ability to see an Audit Log on a specific record follows the same permissions you already have for that record. There's no separate Audit Log permission to set up.
  • Job, Invoice, Payment, Recurring Invoice, and Accounting Automation logs go back 2 years. Every other Audit Log starts on April 26, 2026.
    • The "Showing activity from April 26, 2026 onward" note inside every Audit Log is the same regardless of which record you're viewing. On Job, Invoice, Payment, Recurring Invoice, and Accounting Automation logs, you may see entries older than that date. That's expected, not an error.
  • Audit Log data can take up to 30 minutes to appear after a change is made. If you just made a change and don't see it yet, give it a few minutes.

Where You'll Find Audit Log

You'll see a collapsed "Audit Log" section near the bottom of pages throughout ServiceCore.

Click on it to expand and load the history. You'll find Audit Log on: 

  • Job, Invoice, Payment, Credit Memo, Refund, Rental, Recurring Invoice, and Estimate detail pages.
  • Customer detail pages. One Audit Log here covers the customer record along with its notes, contacts, payment types, notifications, scheduled messages, attachments, and billing groups.
  • Site detail pages.
  • Settings pages across Company Info, Divisions, Preferences, Users, Accounting, Price Books, Custom Fields, Customer Portal, Automations, and Schedule.

View and Filter an Audit Log

To look up a record's history, follow the steps below:

  1. Open the record you want to check (a job, invoice, customer, etc.).
  2. Click on the "Audit Log" section to expand it.
  3. Review the table for the change you're looking for. Each row shows the date, who made the change, the type of change, the field, and its previous and updated values.

If you're looking for something specific, you can narrow the results:

  1. Click into "Select field name" to filter by a specific field.
  2. Click into "Select user name" to filter by who made the change.
  3. Click into "Select date range" to filter by when the change happened.

Click "Clear" to remove all filters and start over.

Please Note: The Audit Log “Filter By” options depend on the record you are looking at, so you might see more or less options.

Understand Who Made a Change

Audit Log attributes a change to the person whose action set it in motion, not necessarily the person who clicked the button that made the change happen. This shows up in a couple of common situations.

If you have a repeat job series, completing one job in the series can trigger ServiceCore to automatically generate the next job in that series. When that happens, the Audit Log shows the technician who completed the earlier job as the "creator" of the new one, even though they never touched that job directly.

Similarly, if you have End Rental Automated Invoicing turned on, ServiceCore automatically creates the final invoice when a rental ends. That happens off the pickup job, either when it's scheduled or when it's marked complete, depending on your settings. The Audit Log will show whoever scheduled or completed that pickup job as the "creator" of the invoice, even though they never opened the invoice.

Please Note: Seeing an unexpected name on a change usually means someone's action triggered a downstream update, not that something went wrong with permissions or security.

What Audit Log Doesn't Show

Audit Log records field-level changes to a record, but a few types of changes fall outside what it captures:

  • Attaching or detaching a price book, tax code, or automation to a record. Audit Log shows that the link changed, but it can't show who made the change. 
  • Changes to route order or sequence.
  • Product, line item, and file attachment changes on a job.
  • Which process caused a change (like route optimization, batch billing, or a bulk reassignment). Audit Log always shows who, but not which tool or process they used.

These FAQs address common questions and quick clarifications to help you use this feature with confidence.

Why does it show someone who didn't actually make this change?

Audit Log attributes changes to whoever's action triggered them, even when that action happened somewhere else in ServiceCore. A technician completing a job can trigger the next job in a repeat series to generate automatically, and their name lands on it. Completing or scheduling a pickup job can trigger an automated final invoice, and their name lands on that too. Nothing about their permissions changed.

Why don't I see a change I just made?

Audit Log data can take up to 30 minutes to appear. If you just made a change, check back in a few minutes. 

What happened to View Job History and View Invoice History?

View History has been replaced by Audit Log. On Jobs, the "View Job History" button is still there, but it now opens the Audit Log section instead of a separate window. On Invoices, Recurring Invoices, Payments, and Accounting Automations, the Audit Log sits in the same area the history link used to.

Your historical data came with it. Job, Invoice, Payment, Recurring Invoice, and Accounting Automation logs go back 2 years. The one real change is speed: the old view was instant, and Audit Log can take up to 30 minutes to update.

Can I see everything one user did across my account?

Not yet. Audit Log is built around individual records right now, so you'd need to check each record's log separately.
