Rentals and Jobs Now Link Back to Their Original Estimate

Rentals and jobs created from an estimate now display a direct link to the estimate details page, giving you a clear record of where the rental or job originated.

Inactivity + Weight Overage Automation Language Updates (Roll-off)

We've updated the language in the automation setup form to make the setup steps a bit more clear. Specifically, we made it easier to understand where to choose the line item that you want to hold the additional overage or inactivity charge.

Units Added via Barcode Scan During Job Completion are Automatically Added to the Job

When completing a job via mobile app with itemized inventory and one of the barcodes needs to be added to an existing item, once you’ve selected the serial number and added the barcode, the unit will be automatically be added to the job you are completing. This minimizes clicks and helps keep your drivers on task.

Expand Filter and Sort Options on Item Lists

In the items list, we added the ability to order by barcode and to filter by if an item has a barcode or if an item has a rental.

Admins and Managers Can Now Delete Estimates

Users with Admin and Manager level permissions can now delete estimates, making it easier to manage and clean up outdated or incorrect estimates without needing owner-level access.

Division Field Added to Customers on Estimate Creation

We’ve added the Division field to the estimate creation form (as optional, under Customer Info - Additional Information dropdown), making it easy to assign and view customer divisions.

Inactivity + Weight Overages

We've added two new automations that will better support roll-off billing. These two new automations will allow you to set up a rule once and then any time the rule is met, a line item will get automatically added to an invoice. This will save time and ensure you aren't missing out on money related to inactivity or weight overages. The automations will allow you to set rules as follows:

  • Inactivity:  “If I haven’t hauled a dumpster rental for some period of time, then charge the customer for the lack of activity.”
  • Weight Overage: “If the weight of the dumpster I haul is greater than the weight allowance I gave to my customer, then charge the customer for the additional weight.”

End Rental Job Modal Language Clarity

Following up on last week's note (Rental + Billing Setting Language Clarity), we've updated the language in End Rental Job modal to make the billing impact of the 'Yes, Cancel Future Instances' and 'No, Keep Future Instances Until Job is Completed' selections clearer. The modal will now let you know the specific billing impact depending on your:
  1. Company Preference for End billing when ending a rental?
  2. Recurring invoice template's Advance/Arrears setting.

Bulk Product View Defaults to In Progress Rentals Tab

We've made a small update to the Bulk Products view, it will now default to opening the In Progress Rentals tab and the Items tab will not show. Itemized Products will still show and default to the Items tab when initially loaded.

New Mobile App Version 9.5.3

App version 9.5.3 includes updates to mobile app framework framework, a new offline database for improved data persistence, and other updates.

Framework Updates
We’ve updated the frameworks that power the mobile app to the latest versions bringing increased performance and stability.

New Offline Database
We’ve replaced the offline data storage service used in the mobile app. Previously, some users experienced data loss when their device’s operating system cleared locally stored data without notice. With the new database, offline data in ServiceCore will persist more reliably, preventing unintentional loss of job data.

Biometric Authentication (Android)
Android users can now sign in using fingerprint or Face ID. This enhancement, enabled by our framework updates, provides a faster and more secure sign-in experience.

Cancel a Started Job
Drivers can now “Cancel Start” if a job is accidentally started. This action moves the job back to “To Do” status.  To cancel, go to the Job Details page, open the ellipsis menu (⋯), and select “Cancel Start.”

Divisions on Rentals

You can now add and update divisions on rentals. These updates will also include updates to the associated one-time and recurring invoices. When ‘Creating a New Rental’ all company divisions added to the customer will be visible. Once a Rental is created, you will now see the associated Division on the Rental Details

*Note this division will apply to all jobs in this rental. Updating the Division will update all of them

When creating a one-time invoice or recurring invoice for this rental, the division will be defaulted.

*Note when updating the division for the rental the recurring template will be updated as well.

Filtering the Schedule for jobs “Without Divisions/Systems”

We have updated our schedule filters to include a way to filter out jobs that do not have a division or system tied to them. This will enable customers to utilize these filters more meaningfully. Any current saved filters will be updated so that these new filters would already be applied for them.

Create an Invoice Directly from an Estimate

You can now create an invoice directly from an estimate, allowing you to easily collect pre-payment for upcoming services.

Screenshot 2025-12-02 at 9.12.52 AM.png

Pre-fill Quantity Actual Values with zero when unable to service

When completing a job via web and selecting completion status to “Unable to Service” quantity actual will default to zero. When editing a completed job quantity actual will show the value that was previously saved, regardless of status to keep that data from clearing out before making updates.

Rental + Billing Setting Language Clarity

We've reworked a couple of the rental and billing settings to make the setting selections more clear. Specifically, we've updated the End billing when ending a rental? and Should prorated Credit Memos be generated for inventory returned early? setting explanations to make your setting choices more clear.

We've also updated button fonts for the End Rental Job modal when scheduling the final job pickup. We'll be making language clarifications to this modal shortly.

Repeat Job Series, This and following logic updates

We have made an update to editing jobs in a repeat series. When editing a job in a repeat series and selecting “This and Following”, updates will only apply to fields that have been edited. For example, if only driver notes were updated for “This and Following” jobs, updated driver notes will appear for jobs in that repeat series. It will not update the repeat job frequency.

December Bug Fixes

Email Displaying Multiple Tax Rates if Line Item Taxes is on: We updated the summary details on invoice emails to reflect all tax codes applied on an invoice, even if only at the line item level. This will only impact customers with line item taxes turned on (mostly applicable to Canadian customers).

Batch Billing Time Out Issue from Weight/Inactivity Automations: We quickly caught and fixed a bug that was causing time out issues with batch billing. Batch billing should now be working as expected.

While editing a Delivery job, editing date causes selected inventory to drop off: We fixed an issue that was causing inventory to drop off when editing a delivery job and selecting a new date.

Product not found when scanning inventory on a PU job following completion of other jobs on that rental: We fixed an issue that was causing the product not found to pop up incorrectly in the mobile app when trying to scan inventory at pickup jobs that were scanned at delivery.

No network connectivity causing blue screen: We fixed an issue that was causing a blue screen when closing the app and going into low connectivity in the mobile app.

Signature does not immediately populate following job completion: We fixed a bug that was impeding displaying the signature in the job details view after job completion in the mobile app.

Site and Item Maps Loading Consistently: We fixed an issue that was causing the site and item maps to load inconsistently.

Division Field in Recurring Invoices: We fixed an issue that was causing the division field to clear on a recurring invoice after adding a rental rate.

Rental Showing in Progress after Final Pickup: We fixed an issue that was causing the rentals to remain open and show as “In Progress” after scheduling and completing the final pickup for all inventory. The rental should now show as Done.

Rental Inventory table displaying for non-itemized products: We fixed an issue where the inventory table on the rental details page was not showing after only bulk products were delivered. The inventory table should now show for all product types.

500 Error on Password Reset: We fixed an issue that was causing an error to show when attempting the password reset. This should now be working as expected.

Displaying Two Decimal Values in Collect Payments
We’ve fixed an issue where invoice values ending in “.10” would display without the trailing zero in the Collect Payments pop-up. With this fix, both decimal places will now always be shown.

Scanning Barcode on Service Job throws an Error: We have fixed an issue that caused a 'Product Not Found on Job' error message to be thrown when scanning a known barcode on Service job.

Android OS Status Bar Styling: We fixed an issue with the Android OS status bar that was making it illegible with our mobile app white background.

Displaying Item Location in Product Inventory Map: We fixed an issue that was impacting inventory item pins from showing correctly in the product inventory map.

Displaying units not on a rental in the rentals table: We fixed an issue that showing units that were not yet delivered on a rental. We will now only show units onsite within the rentals table.

Auto response SMS populating incorrect number: We fixed an issue that was causing the wrong number to populate when customers reply to an automated SMS message from SC. The phone number displayed in the auto-response will be the company’s configured phone number.

Invoice Edit View Respects Previously Disabled 'Allow Online Payment' selection: We fixed a bug that will now ensure that editing an invoice will respect any previous selections to the "Allow Online Payments" selection on that specific invoice.

Default Tax Code Inherited on Job-Derived Line Items in Recurring Batch Billing: We fixed a bug in the Line Item Taxes feature (mostly relevant for Canadian customers) that will now ensure that service line items added to invoices from Jobs (ie. outside the recurring invoice template) via batch billing will inherit the service's default tax code.

November

Improved Nightly Sync for New CardConnect Customers

We’ve updated the Payment Nightly Sync process to handle recent CardConnect changes that combine credit card and ACH transactions for new onboarded customers. This update ensures that credit card and ACH records are only updated once per nightly sync, and duplicate decline emails are no longer sent.

New Inventory Management Report

We've added a new report that allows you to view jobs with missing items, meaning not all scheduled inventory items were recorded when completing the job. This report also expands on the view of jobs with missing items featured on the ServiceCore dashboard. Fields displayed include customer, job, and rental information, quantity expected and quantity actual.  You can find it under Report > Operations Reports > Inventory Management

Adding Barcodes to your Itemized Inventory via Web

We have updated the web app to allow Assistant Managers and above roles to update barcodes via web app (same permission as editing inventory). This should make it easier for you to add barcodes without having to physically be at the location. This will not impact any GPS coordinates already set with these serial numbers.

Quantity Actual defaults to 0 if status is Unable to Service (web app only)

When completing a delivery, pickup, or exchange job in the web app, if you select the job status of "Unable to Service" the quantity actual fields for all products on the job will pre-populate with 0, as no units were able to be delivered or picked up saving users clicks.

Mobile App Version 9.5.2

Mobile app version 9.5.2 fixes an issue that arose in 9.5.0 and 9.5.1 that caused a "Downloading Scheduled Inventory” popup to be displayed after all job actions.

Due to this update, we'll be temporarily removing a couple of recent features:

  • New Offline Database
  • Android Biometric Authentication
  • Cancelling a Started Job
  • Selecting a Yard when adding an inventory item
  • Fix: Displaying to decimal values in Collect Payments

MSI Number Shows on Statements

When "Print Multi-Site Invoice as Summary" is set to Yes on a Billing Group, statements will reference the Multi-Site Invoice (MSI) number rather than the individual invoice number(s). The printed invoices will work the same as they have depending on your setting selection.

$0 Due Invoice Emails Say "Paid In Full"

When an invoice has a $0 amount due in its email, the email copy used to say "Please Pay" which was confusing to our custies' custies. Now those emails will say "Paid In Full".

Persist "View" selection on Availability Chart

When viewing the Availability Chart, when you select a number of products to view this value will be persisted until you clear your cache. Previously this always defaulted to 5 results.

Cancel Job Start from Web App

Following up on our pervious mobile app release, we have added the ability to "Cancel Start" of a job from the Web app. When a job is in progress, if you go to the "Actions Menu" you will see a "Cancel Start" option. This will move the job back to a "Scheduled" status.

Filter Items List by Yard

For current users of Multi-Yard Inventory, we have added a "Yard" filter to the Items table (both on the Inventory>Items and Product Details pages) allowing users to see which units of an itemized product have a location of a specific yard.

Mobile App version 9.5.0

App version 9.5.0 includes updates to mobile app framework framework, a new offline database for improved data persistence, and a delighter and a bug fix.

Rollout
With this release, we are conducting a phased rollout. The release will gradually become available to all users over the course of the week.

Bug Fix: Displaying Two Decimal Values in Collect Payments
We’ve fixed an issue where invoice values ending in “.10” would display without the trailing zero in the Collect Payments pop-up. With this fix, both decimal places will now always be shown.

November Bug Fixes

Estimate Emails No Longer Fail When a Site Has an Invalid State: We fixed an issue where new estimate emails failed to send if the related site had an invalid or missing state value. This caused a system error and prevent the email from being delivered.

Tax code updates won't impact historical invoices: We fixed an issue that will now ensure that if a tax code gets updated and old invoices get edited they'll use the rate you set when you created the invoice rather than automatically updating with the newly updated tax code rate.

Assigning Drivers to Territories limitation: We fixed an issue that was impeding assigning any driver on schedule to a territory.

Email Log Not Showing all Previous Emails: We fixed an issue that was impeding showing all sent emails from the previous day. You should now be able to see all previous day emails at any time of day.

Managers and Admins Can Remove Products from Estimates: We fixed an issue where users with Manager and Admin level permissions were unable to save edits after removing products from an estimate, receiving an incorrect error message.

Rental In Progress Label Displays in Green: We fixed an issue where an In Progress rental badge would display with a green background, which is reserved for rentals with a "Done" status.

Estimate Expiration Date Now Displays on Estimate List: We fixed an issue where the expiration date was not displaying on the Estimate List page. Expiration dates now correctly appear under the dollar amount in the summary column, making it easy to see when each estimate expires at a glance.

Estimate Email Now Displays Correct Expiration Date: We fixed an issue where estimate emails showed “Valid Until” followed by a placeholder (|INVOICEDUE|) instead of the actual expiration date. The email template now correctly displays the Expiration Date if one is set, ensuring customers see accurate estimate details.

Invoice Edit Validation Improvement to Prevent Overpayment Errors: We have fixed an issue where in some cases, ServiceCore would show an overpayment error and prevent an edit to a paid invoice, even if the payment amount matched the invoice amount. Now, customers will not see an overpayment error if the invoice amount and payment amount are equal (to the penny).

Don't Display Units On Site to be Delivered when completing an Exchange Job: We have fixed an issue that caused units that are already on a rental to be selectable in the Delivery section of an completing an exchange job.

October

Expanded PO# on Invoice PDF

We've updated the Invoice PDF to ensure that longer PO# show on 1 row instead of wrapping to 2 rows. It won't allow for an infinite number of digits before wrapping, but it'll at least give a few more digits of space and resize the other bubbles to keep a clean look. We hope this will help address issues certain AP systems  were having reading wrapped long PO#. See below for the before and after views.

New Septic Job Type Fields

We've added new fields to better support septic inspections.

New fields include:

  • Environment Check

  • Effluent Check
  • Inflow Pipe Condition
  • Airflow Control Valve
  • Airlift Valve Condition
  • Airlift Pipe Condition
  • Chlorinator Refill

Expanded Schedule Week Cards

We've increased the number of automatically expanded cards in the Schedule Week Card view. You'll now be able to see 1000 jobs expanded as a default, decreasing the number of clicks it takes to view the jobs.

ServiceCore Sell Report

The ServiceCore Sell report provides a high-level overview of ServiceCore Sell performance. It highlights key sales metrics, including total estimates created, open estimate value, estimates won, and overall conversion rate. Use this view to track pipeline health and sales momentum across stages, owners, and time periods. Below, you’ll find breakdowns by stage, estimated revenue by start date, conversion performance, expiring estimates, and owner-level activity to help drive follow-ups and identify opportunities.

Screenshot 2025-10-28 at 3.09.42 PM.png

Select Completion Time when Editing Job Completion

We have add a time selector when editing job completion. When editing job completion, you will now be presented with both a date & time selector. Both the time and date selectors will be pre-populated with the time and date of when the job was originally completed. Prior to this update, when editing job completion, the "Completed At" timestamp was updated to the current time with no way for the user to edit the updated timestamp, leading to misleading job duration data.

Tooltips for Product Data Points

We have added tooltips with definition of each product data point to the Availability, Products, and Product Details pages. These tooltips are displayed when you hover over the label for a data point or column header for a data table.

Services from Estimates Auto-Populate on Rentals

When you create a rental from a new estimate, all services on the estimate will now automatically populate on the delivery job.

Navigation After Recurring Invoice Creation

You'll now get redirected back to the Customer's page when creating and saving a recurring invoice from the Customer's page.

Filter Jobs List to Hide Service Jobs

To help you quickly identify any Delivery, Pick Up, or Exchange jobs that may have not been completed or need to be reviewed, we have added a "Hide Service Jobs" checkbox to the Filter menu on the Jobs list. Selecting "Hide service jobs?" will filter out all jobs types that are not used for moving units. The default status of this filter is unselected (showing all job types).

Assistant Manager + Order Taker can View Customer KPIs

We made a couple of role updates where users with the Assistant Manager and Order Taker roles can now see customer-specific accounting KPIs. This will hopefully make it easier to check that a customer is in good standing when taking a new order.

Accounting Invoice Tab: Filters Remembered

Continuing our work to make it easier to navigate away from and then back to the Invoice Tab inside Accounting, we've made an update so that your last selection using the Date Range, Search and Pages are all automatically saved. This means you can easily continue your work when you come back to the invoice tab. We're continuing this work so that all filters you set get automatically remembered. We're starting with the invoices tab on Accounting and then will bring these updates to other lists around ServiceCore.

Date Range Filter Example:

New Septic Field: Drainfield System Type

We've added a new septic field to capture drainfield system types. It is available via the Custom Fields > Job Types > Add Job Type > Create Septic Job Type.  This new field will be a dropdown with the following options: Gravity, Pressure Distribution, Mound, Sand Filter, Drip, Lagoon, Dry Wells, and Other.

image (6).png

New Job Type Filter

We’ve added a new way to filter all of your job types across all job lists. You will now be able to quickly filter all of your job types using a new search autocomplete field. This will give you access to search specific job types and avoid having to scroll through the full list.

*Note only the top 25 job types will appear but, as you start typing in the search box you will be able to see your other job types.

Batch Billing Creates but Doesn't Send $0 Invoices

If your batch billing process generates a $0 invoice (more often relevant for the roll-off business), the $0 invoice will get created and will advance your recurring invoice to the next billing cycle however, the invoice will not get automatically sent to your customer.

Customer Search - Create Job Button

You can now create a job directly from the customer search or customer list via the "Create Job" button.

Screenshot 2025-10-06 at 2.13.39 PM.png

Advanced Customer Search

You can now search for a customer by contact first name, last name, email, or phone number, making it easier to quickly find the right customer record.

October Bug Fixes

Estimate Emails Now Deliver Correctly: We fixed an issue where estimate emails were not being delivered when using the new estimate template.

Estimate Form Now Saves After Clearing Site: We fixed an issue where the new estimate form could not be saved after removing a linked site.

Copying Estimate with Products Now Works Correctly: We fixed an issue where copying an estimate that included products caused an error and would not copy. Now, estimates containing products can be copied successfully without errors.

Copying Estimates for Deactivated Customers: We fixed an issue where copying an estimate tied to a deactivated customer triggered an error but still created the duplicate estimate in the background. Now, when attempting to copy or edit an estimate for a deactivated customer, you’ll see a single clear error message - and the estimate will not be created or saved. This ensures accurate validation and prevents invalid data from being generated.

Recurring Invoice Redirects Correctly: We fixed an issue where, after creating a recurring invoice from a customer record, the system incorrectly redirected users to the dashboard instead of the customer’s recurring invoice list.

Batch Billing Treatment of $0 Invoices: We fixed an issue that caused batch billing invoices to generate without any line items. This happened when a rental ended, the 'End Rental' feature disabled, and there is still a recurring invoice template -> Batch Billing created $0 invoices without any line items.
Now, the pending invoice won't get created if it has zero line items after processing the recurring template. Instead, we'll advance the billing to the next reminder date and keep the last reminder date (since no invoice was generated).

Price Books Display on New Rental Job Service Rates: We fixed an issue that was blocking the price book rate dropdown from showing when adding a service to a newly created job from an existing rental (for a customer with a price book). The price book rate dropdown will now show as expected.

Order Taker Ability to End Repeat Job Series: We fixed an issue that was preventing the Order Taker role from ending a repeat job series. We created a new permission for 'End Repeat Job' and gave that permission to Order Taker and all other roles that currently have the Edit Schedule permission access (since this is the permission that controlled the End Repeat Job access prior to this update).

Changing date does not reset product quantities when scheduling a delivery job: We fixed an issue where the selected product quantities were not reset when changing the date when creating a delivery job. This was an inconsistent user experience as all other changes reset the product quantities that could lead to inadvertently overselling inventory.

Pickup Job Flagged as "Invalid Product Availability":  We fixed an issue when Product Availability was negative, pickup jobs showed an "Invalid Product Availability" banner. Pickup jobs should not show an Invalid Product Availability banner as units are already on site.

Batch Billing Creating $0 Invoices With No Line Items: We fixed an issue that caused invoices to generate without any line items via batch billing. This was happening when a rental ended, the 'End Rental' feature is disabled, and there is still a recurring invoice template. Now, the blank invoice will not get created and the billing period will advance.

Pending Transaction Invoice Detail Disappearing After Deleting an Invoice from the Preview Screen: We fixed an issue that caused the individual line item rates to disappear from the pending transactions preview screen (ie. batch billing) when deleting one of the invoices from the preview. Now, if/when you delete an invoice from the preview screen, all of the other pending transactions will retain their line item level detail.

Estimate Form Now Saves After Clearing Site: We fixed an issue where the new estimate form could not be saved after removing the selected site. Now, when you clear the site from an estimate and hit save, the form will correctly update and save as expected.

Bulk Reassignments (Lasso Tool) and updating repeat job frequencies: We fixed an issue that was impeding changing a job's repeat series when using the lasso tool.

Copying or Editing Estimates for Deactivated Customers: We fixed an issue where copying an estimate linked to a deactivated customer triggered an error but still created the duplicate estimate. Now, when attempting to copy or edit an estimate tied to a deactivated customer, you’ll see a clear error message and won’t be able to proceed or save changes - preventing invalid records from being created for a deactivated customer.

Changing Date when creating Delivery Job Sets Same Day Expected Pickup: We have fixed a bug, that when creating a delivery job for an existing rental, changing the date for a delivery job, an expected pick update of the delivery date was passed into Availability causing an inconsistent experience. Now, when changing the date, no end date is passed in unless you provide an "Expected Pickup Date".

Display Yard Name Label on Job Details Page: For users on Multi-Yard Inventory, we have fixed an issue that caused the "Yard" label to not be displayed on the Job Details page.

Creating new income account with 'Other Current Assets': We fixed an issue that caused QBO to unsuccessfully sync new income accounts with account type as 'Other Current Assets'.

Editing a completed delivery or pickup job clears the value from the 'Units Delivered/Picked up' field: We fixed an issue that caused the value that was recorded in the 'Units Delivered' or 'Units Picked Up' field to be cleared out when editing a completed Delivery or Pick Up job. The Delivered and Picked Up values will remain after changing the planned number of units on the job.

Outstanding Balance to Exclude Recent Payment: We fixed an issue where recently paid amounts were not getting removed from the outstanding balance when selecting the 'Send Payment Receipt Email to Customer' option. The outstanding balance will now properly subtract out the amount just paid.

Completed Destination Jobs Filtered by Schedule Filters: We fixed an issue that was preventing completed destinations from being filtered in/out when using the 'Done' job status schedule filter.

"Jobs with Missing Serial Numbers" table experiencing intermittent failures: We have fixed an issue that caused the "Jobs with Missing Serial Numbers" table from timing out.

September

Invoice and Statement PDFs - Online Payment Link

We’ve updated invoice and statement PDFs to include a direct link to the public payment pages. Customers no longer need to enter a Pay Online ID, they can simply click the link to pay their invoice or statement.

NEW Company Preference "Allow Overselling Inventory"

We have added an new Company Preference to give you the ability to allow or disallow your team from overselling your current inventory availability. The default state for this preference is "Yes" which follows the current behavior which allows for overselling inventory.

A selection of "No" block you from creating a rental or delivery where the Quantity value exceeds availability.

This new preference can be found in setting under, Company > Preferences > Rental

Multi-Yard Inventory: Select Yard when adding a unit of an Itemized Product

For accounts that have Multi-Yard Inventory enabled, when adding an Item to an Itemized product you will now select which yard to add the unit to. Adding the unit to the yard will increase Availability by 1 for that product in that yard and the Items table will show that unit has a location of the selected yard.

Accounting List Improvements

ServiceCore will now remember your last 'Filter' selection on your Invoices list from either your account-wide or company-specific Invoice view. More enhancements to come on this front!

Mobile App 9.4.56

We have made a few more tweaks to improve the performance of the barcode scanner.

Future Jobs Show Updated Serial Number on Following Exchange

We have made an update to the information populated on future jobs following an one-for-one exchange job. After completion of the swap, future jobs will reflect the serial number of the unit delivered as part of the exchange.

Order Entry Updates

Warning Banner if Overselling Inventory when Creating a Rental or Delivery Job: We are in the process of making it easier for you to have a holistic view of your inventory during the order entry process. As a first step, when creating a delivery job (either as part of Rental creation or a subsequent delivery on an existing Rental), if you enter a Quantity value that is greater than the number of units of that product currently available, we will highlight the row to be yellow and present a waring icon.

Mousing over the warning icon will display a message stating "Selected quantity exceeds current stock. Proceeding may oversell."  This warning is purely informational and does not block any workflows

Ability to create a Delivery for a Product with an Availability of Zero: We have made an update to allow you to create a delivery job for a Product with Availability of zero or less. This will help provide a more consistent order entry experience.

Closed Rentals

Remove Rental Association when Rental is closed: When a rental is Closed (all units picked up), we are now automatically removing the rental association from any items that were associated with the rental even if they were not explicitly selected on the pickup job.

Inventory Billing Update

Billing based on planned quantity instead of delivered quantity: We have made an update that billing on rentals will be based on the planned number of units instead of the number of units delivered (as entered by the driver when completing the delivery job).

This mirrors the billing experience that existed prior to the introduction of the "Count of Units" input boxes on delivery and pickup jobs.

As a reminder, you can see any delivery jobs where the number of units moved does not match the planned number of units in the "Jobs with Missing Items" table on the dashboard.

Accounting List Improvements

All Accounting Lists Default to Show Most Recent Item First: We've updated all lists within the Accounting space (eg. Ready for Invoice, Invoices, Refunds, etc.) so that those lists will default to show the most recent transactions at the top of the list. You can still sort 'A -> Z' if needed, but it will now take fewer clicks to find your recent transactions.

Invoice List Remembers Your Last 'Sort By' Choice: We're in the process of making it easier for you to use your accounting lists. The goal is to get all accounting lists in a place where ServiceCore remembers your last sorting and filtering selections when you click away and then back into your accounting lists (like your list of invoices, refunds, etc.). As a first step ServiceCore will now remember your last 'Sort By' selection on your Invoices list from either your account-wide or company-specific Invoice view.

Schedule Performance Optimizations for Real Time updates

We've optimized the schedule real time driver updates to keep schedule load times low while you get all the real time data from your drivers. This should have no impact to your schedule views.

Users with the Read Only role will now have the ability to view the schedule.

Barcode Scanner Enhancements
In Mobile App Version 9.4.55: To improve the accuracy of the barcode scanner, we are now checking for 10 consecutive matches from the scanner prior to passing a value from the barcode scanner to the app.

Refunds + Credit Memo Updates

We’re improving how Refunds and Credit Memos work together in ServiceCore.

  • Refunds for ‘applied’ payments - payments used to pay off invoices - will re-open the invoice.
  • Refunds for ‘unapplied’ payments - payments not used to pay off invoices, automatically turned into a credit - will reverse the credit balance.
  • Similar to how payments work, refunds will no longer have line items.
  • ‘Take another form of payment’ will be accessible from within the Refund flow.

The credit memo creation flow will be more seamless and accessible directly from an invoice. Additionally, you now have the option to create a refund within the credit memo creation flow.

Aging Report Updates

The Aging Report will change in a few ways. Most importantly though, your Monthly AR Balance and Aging Reports will have fewer reconciling items.

First, we’ve improved the navigation within the report to make it easier for you to find the information you’re looking for.

Second, we’ve added functionality to allow you to look at your aging information in more ways.

Last, we’ve changed the way your receivables data is presented.

During job creation, when choosing units if you click on "Select All" we will now be selecting and passing all known serial to the newly created job.

Items Table Inline Education Content

We have added inline education content to the Items table on the Items  & Product Details pages within inventory. This text explains that the data shown in the table below is a snapshot of the last known location for each item and does not take future jobs into account, meaning it is unlikely that it will sum to the product's availability.

Service Jobs: Allow selection of units not on the Service Job

In Mobile App version 9.4.53: If a service job has one or more Unknown Serial Numbers, we  introduced the ability to associate the correct unit to the rental via barcode scanning in mobile app version 9.4.49. With version 9.4.53 and above, drivers will be able to replace any "Unknown Serial Number" value with any Item of that product that is not currently assigned to a rental (matching the serial number selection experience on Delivery jobs).

  • We have renamed the module "Inventory Management" to more accurately reflect the data presented and actions available
  • We have updated the Pencil Icon on the Jobs with Missing Serial Numbers table to link directly to the "Edit Job Complete" form, saving multiple clicks to correct missing serial numbers
  • In the case there are no jobs with missing units and/or no jobs with missing serial numbers, we have added a message that there are no jobs missing information rather than hiding the table(s)
  • In two locations, we have updated the term "Units" to be "Items" to be more consistent with the experience throughout ServiceCore

Inventory Updates

We have made key updates to how inventory works in ServiceCore. These changes improve product availability accuracy and help you track what’s really out in the field or back in your yard.

Count of Units Field (Web + Mobile): When doing delivery, pickup, or exchange jobs, there hasn’t been a way to record how many units were actually moved. That’s caused mismatches between scheduled units and real inventory. Now, we’re adding required fields to record how many units were delivered, picked up, or exchanged. This change helps make your Product Availability more accurate.

Inventory Availability Dashboard Widget: We’re updating the “Inventory Availability” widget to help you spot and fix inventory issues quickly. It includes two tables: Jobs with Missing Units and Jobs with Missing Serial Numbers

Inventory Table in Rentals: We’ve added a new link below Inventory table showing Delivery and Pickup jobs with missing inventory. If a job has a unit with "Unknown Serial Number," you’ll see a direct link to the delivery job so you can fix the issue quickly.

Mobile App Updates (9.4.50)

Assign Units on Delivery Jobs: If a driver scans a unit that’s already tied to a past job or rental:

  • It will now assign that unit to the new rental

  • This prevents issues where drivers couldn’t select a unit because it wasn’t picked up in a prior job

Scan Product Not on the Job: Today, if a driver scans a product not on the job, they get blocked. Soon, they’ll get a message saying the product isn’t assigned but will be able to continue. The product name and serial number will be added to the completion notes.

New Customer Stage Field to Identify Leads, High Value, and VIPs

As part of the upcoming customer management tooling in ServiceCore, we've added a new Customer Stage field to the customer profile. When adding or editing a customer, you will now see a Customer Stage dropdown with the following options:

  • Lead: Lets you track prospects and potential customers without including them in reporting and customer lists
  • Customer
  • High Value: Helps you identify important customers in the mid-sales process
  • VIP: Highlights your most important customers and is only available to users with Admin or Owner permissions. When selected, VIP customers will be flagged throughout the web and mobile app with a star icon:
    • Customer Details page
    • Customer List view
    • Mobile app schedule
    • Mobile app job details

We're excited for this to support more efficient lead tracking and customer segmentation, stay tuned for more customer management tooling functionality launching soon!

Intermittent Site Map Failures: We fixed an issue that was causing maps not to render on the site pages intermittently.

Amount Field Now Editable When Switching Customers in Record Payment: We’ve fixed an issue where switching from a customer with credit to a customer without credit in the Record Payment screen would cause the Amount field to remain locked, even after changing the payment method.

Large amount of invoices sent via aging report: We fixed an issue that was causing large amount of statements sent from the aging report to fail.

Price Books now available for customer sites

Price books can now be scoped to specific customer sites. We’ve added a new Customer Site category to Price books. When choosing ‘Customer Site’ in the Category dropdown both customer and site will be required. To make it easy to invoice these sites, when adding services to an invoice any price books associated with the site will display.

Pending Transactions stay expanded after Deleting or Removing Others

We made an update to our invoice preview lists that will keep all previewed invoices expanded when removing invoices from the list to help you quickly manage their pending invoices without losing track.

Add Serial Number to a Rental from a Service Job via Barcode Scan

From the mobile app, for service jobs using itemized inventory and have a unit with an Unknown Serial Number, drivers can now scan the barcode of the unit. Scanning the unit will replace the Unknown Serial Number value with the serial number of the scanned unit on the rental and any future jobs.

Note: this is a backend change and does not require an update to the mobile app.

Route Optimization Start Route at First Job

You will now be able to optimize a route starting at the first job listed on their drivers day. This will give you the flexibility to keep the first job as the starting point for your route.

Things to note: Any destinations set before the first job will be pinned and only jobs/destinations after the first job will be optimized. You will be able to end a route at ‘Start Destination’ (if starting at a Destination), ‘Last Address’, ‘Any Address’, or a specific ‘Destination’.

We've made a few improvements to the printed PDF payment receipt to bring this document more in line with our other transaction patterns (like the printed pdf invoice). Also staying consistent with the printed pdf invoice and other transaction PDFs, we've removed the tax displayed at the line item level. These updates were made for single invoices and multi-site invoices.

See below for a sample of the updated printed payment receipt.

Fiserv (formerly CloverConnect)-ServiceCore Nightly Sync for Payment Details

We are launching a nightly sync between Fiserv (formerly CloverConnect) and ServiceCore to provide more accurate, up-to-date payment information for customers using Fiserv. What's new in the payment details view:

July Bug Fixes

Display "Unknown Serial Number" if no inventory is associated with a job: We have fixed an issue that caused the serial number of units added in a subsequent delivery to be displayed on prior jobs that did not have a serial number associated. Mobile - Ability to Mark Jobs as Complete without Selecting all Serial Numbers

With mobile app version 9.4.41, we have re-enabled the "Complete" option for pickup and delivery jobs where the number of serial numbers selected does not match the number of units on the job. With this update, there are two changes in the workflow from that will persist:

  1. We have removed default completion status for pickup, delivery, exchange jobs
    1. Regardless of the number of serial numbers selected, the driver will still need to select a completion status to complete the job
  2. If the number of serial numbers selected does not match the number of units on the job, they will still be presented with a warning message
    1. This will give users the ability to correct any issues while onsite

This was causing an error when trying to create the next invoice in the series due to period date mismatches.

    1. Message: "Unable to mark job as Complete. Number of units selected does not match the expected quantity"
  3. If the number of serial numbers / barcodes scanned does not match the number of units on the job, the driver the completion status of "Complete" will be disabled, and the driver must mark the job as "Partial Service" or "Unable to Service"
    1. This is to denote to staff in the office that there are either still units that need to be picked up/delivered or that the data on the job needs to be corrected for Product/Inventory counts to remain accurate
