Rental Overview Report Overview

The Rental Overview Report gives you a complete and clear view of your rental activity in ServiceCore. Use this report to spot workflow issues, track products, and review billing and autopay status across your rentals so you can make smarter business decisions.

Before You Start

Key Features

Map Summary: Displays a high-level overview of rental locations on a map.

Filtering Options: Narrow results using filters such as rental status, begin and end date, products, and whether the rental has autopay or a recurring invoice.

Rental Rates Details Table: Lists all rentals with key details, including rental, customer, and site numbers, the last invoice date, and whether the rental has repeat jobs.

Run the Rental Overview Report

  1. Click “Reports” in the top menu.
  2. Scroll down and find the Rental Overview Report listed under Finance Reports.
  3. Click the name of the report or the “Open Report” icon to open and run the report.

Once the report loads, you’ll see an overview of all of your rentals displayed on a map. You can drag the map and zoom in or out to adjust the view as needed. Hover over a dot on the map to view additional details about the rental.

Report Filters

On the right-side of the report, there are options to filter the report.

Rental Status: View all, completed, scheduled, or in progress rentals.

Rental Begin Date: Filter rentals by their start date.

Rental End Date: Narrow results by the end date of rentals. For more information about using date ranges in reports, check out this article about date filtering.

Rental #: Narrow results by rental numbers.

Customer: Filter report by customer names.

PO Number: Narrow report to specific purchase order numbers.

Repeat Jobs: Show rentals with or without repeat jobs.

Recurring Invoice: Filter rentals based on the presence of a recurring invoice template.

Autopay: Narrow rentals based on their autopay status.

Product: Filter results based on specific products.

Division: Filter results based on specific divisions. This filter is only applicable if you manage separate business divisions in ServiceCore.

Service: Narrow results by the services associated with each rental. 

Site Type: Filter rentals by their site type.

Company Name: Narrow list of rentals by company. This filter is only applicable if you manage multiple companies in ServiceCore.

Rental Rate Details Table

In addition to the map towards the top of the report, the Rental Rate Details table provides additional information about each rental including customer, location, site, and basic billing information.

Each Rental, Customer, and Site number is hyperlinked, so if there is a rental, customer, or site listed that you would like to take a closer look at you can hover over it and click the associated link to open its details page.

Sort the Table

After using the filters based on your preferences, you have additional options to sort the data that is presented in either of the tables in the report.

To sort tables using the column headers:

  1.  Click the options icon next to the header.
  2. Select your sort preference or click the gear icon for additional options.

    TIP: Each column can be sorted either alphabetically A-Z or Z-A OR numerically ascending or descending. For instance, the Rental # column will sort numerically while the Customer column will sort alphabetically.

Expand Rental Details in Table

The Rental Rates Details table displays basic details for the rentals included in the report. To view additional details for a specific rental, click the “+” icon next to its rental number. This will expand additional details for that rental to the right in the scrollable table. Clicking the “+”  icon at the top of the column will expand additional details for all rentals listed.

Please Note: In general, when a “+” icon appears, it means that there is an opportunity to expand additional details for a given section or line item. 

Export or Send the Rental Overview Report

Export the Report

Once you have a section of your report displaying the information you want, you can download it for your records. 

  1. Hover over the section so a menu appears in the top right corner of the table.
  2. Click the three vertical dots.
  3. In the menu that appears, hover over “Export.”
  4. Select your file preference in the list of options that appear in the dropdown and the report will download in the file format you selected.

    TIP: When exporting as a PDF, you can choose Portrait or Landscape layout.
     

Please Note: You can export up to 1 million rows at a time. If your table contains more than 1 million rows, we recommend using filters to break the data into smaller, exportable chunks.

Send the Report

In addition to downloading a section of the report to your computer, you can also email a section.

  1. Hover over the section so a menu appears in the top right corner of the table.
  2. Click the three vertical dots.
  3. In the menu that appears, hover over “Export.”
  4. Click “Export…” at the bottom of the list under the Send section.
     


     

  5. In the pop-up that appears, click the “Email” icon.



     

  6. Enter the email address of the recipient.
  7. Click “Export” to send an email with the report attached.


On the final screen you can also customize the email subject, select specific attachments and file types, or send the report as a .zip file.
