Inventory History Report Overview

Keeping track of where your inventory is and where it's been is tough when you're managing units across multiple jobs, rentals, and yards. The Inventory History Report gives you one place to check current product counts, unit status, and historical activity for every item in your account.

Whether you're confirming how many units are available right now or tracing where a specific unit has been over time, this report pulls it all together. You can view your data as a table or on a map, and export or send whatever you need to your team.

Before You Start

  • To see if you have access to this feature in ServiceCore, please check out this article on user permission levels.
  • Unit location (GPS) data updates through the ServiceCore Mobile App. If a unit has been updated as part of a job completion, job, rental, and customer data will also be available for that unit.

Key Features

  • Filtering Options: Narrow the report by date, product, serial number, rental, site city, and company name.
  • Multiple Report Views: Switch between table views and a map view to see your inventory data in whatever format works best for you.

Run the Inventory History Report

To run the Inventory History Report, follow these steps: 

  1. Click “Reports” in the top menu.
  2. Scroll down and locate the Inventory History Report under the Operations Reports section.
  3. Click the name of the report or the “Open Report” icon to run the report.

Inventory History Report Filters

The right side of the report has a panel of filters you can use to narrow down the data across each tab. Adjust these to focus on exactly the units you need.

  • Units Updated At: Filter by the date range when units received their last update. 
  • Product: Narrow results by specific product types. 
  • Serial Number: Filter results by specific serial numbers. 
  • Rental: Filter results by specific rental numbers.
  • Site City: Narrow results by city.
  • Company Name: Filter results by company. 
    • This filter is only applicable if you manage multiple accounts in ServiceCore.

Report Views

When you open and run the report, you’ll land on the Products tab by default. Click any of the 5 tabs at the top of the report to switch between views: Products, Active Status, Historical Data, Locations, and Detailed Data.

Products

The Products tab gives you a quick snapshot of every product in your account and its current availability.

Each row represents one product, with columns for whether the product is itemized (tracked by serial number), how many units are available, rented, or out of service, the total quantity, and when the unit was last updated.

Active Status

The Active Status tab shows you whether each itemized unit is active or inactive, along with details on any current rental it's tied to.

Each row represents a specific unit, with columns for serial number, barcode number, status, and the active rental's number, begin date, and end date.

Historical Data

The Historical Data tab shows you the full history of an itemized unit over time, including past usage, condition, and location.

Each row represents a single historical record for a unit, with columns for serial number, barcode number, the date the unit was updated, unit usage, unit condition, and latitude and longitude at the time.

TIP: Search any rental number in this tab to find every unit that's ever been associated with it.

Locations

The Locations tab plots all of your units on a map so you can see exactly where they are.

Use the toggle above the map to choose whether the map shows units based on their Active Status or their Historical Data.

TIP: Hover over any dot on the map to see the latitude, longitude, product, total quantity, and serial numbers for the units at that location. 

Detailed Data

The Detailed Data tab combines every column from the other 4 tabs into one wide table, giving you the most complete record for each unit in a single view.

Table Hyperlinks

Some columns listed in the tables, like Products and Rental Numbers, are hyperlinked. Click the number to open the link directly without leaving the report.

Collapse Product Rows

When you run the report, you will see an additional option in the tables to collapse Product details expanded in the tables. By default, all Product details are expanded. To collapse the details for a specific product, click the “-” icon. To collapse all details, click the “-” next to Product at the top left of the table.

Sort the Inventory History Report

After using the filters based on your preferences, you have additional options to sort the data that is presented in each of the tables, excluding Locations.

To sort the data in a table using the column headers:

  1.  Click the options icon next to the header.
  2. Select your sort preference or click the gear icon for additional options.
    • Each column can be sorted either alphabetically A-Z or Z-A OR numerically ascending or descending. For instance, the Barcode Number column will sort numerically while the Product column will sort alphabetically.

Export or Send the Inventory History Report

You can download or email the tables in the Inventory History Report.

Export the Report

Once you have the table in the report displaying the information you want, you can download it for your records. 

  1. Hover over the table so a menu appears in the top right corner of the table.
  2. Click the three vertical dots.
  3. In the menu that appears, hover over “Export.”
  4. Select your file preference in the list of options that appear in the dropdown and the report will download in the file format you selected.
    • When exporting as a PDF, you can choose Portrait or Landscape layout.

Please Note: You can export up to 1 million rows at a time. If your table contains more than 1 million rows, we recommend using filters to break the data into smaller, exportable chunks.

Send the Report

In addition to downloading the table in the report to your computer, you can also email it.

  1. Hover over the table so a menu appears in the top right corner of the table.
  2. Click the three vertical dots.
  3. In the menu that appears, hover over “Export.”
  4. Click “Export…” at the bottom of the list under the Send section.



     

  5. In the pop-up that appears, click into the Destination field and select “Email” in the drop-down menu.



     

  6. Enter the email address of the recipient.
  7. Click “Export” to send an email with the report attached.


Please Note: On the final screen, you can also customize the email subject and message, select specific attachments and file types, or send the report as a .zip file.
