The Ready for Invoice tab in Accounting shows you every job and rental that's finished but hasn't been invoiced yet. Instead of digging through completed work one at a time, you get one list where you can start invoices and keep billing moving.
This tab has two parts you'll use regularly, depending on your type of business: Jobs and Rentals. Each one pulls in a different kind of work, and each one gives you a fast path to get an invoice started.
Before You Start
Here are a few things to know before you continue:
- To see if you have access to this feature in ServiceCore, please check out this article on user permission levels.
- When you open Accounting, you’ll land on the Ready for Invoice tab with the Jobs sub-tab open by default.
- You'll also see an Estimates (Legacy) sub-tab in this area. It only applies to older, legacy-style estimates and isn't covered in this article.
Open the Ready for Invoice Tab
The Ready for Invoice tab is in Accounting in the top navigation. To open this tab, follow these steps:
- Click “Accounting” in the top menu.
You’ll now see the Ready for Invoice tab open automatically, with the Jobs sub-tab open.
Jobs Tab Overview
The Jobs sub-tab lists every job that's done and doesn't use inventory, like septic, grease, and customer-owned unit jobs that don't have an invoice yet.
Jobs List
The list includes jobs marked as done (complete, partial service, or unable to service). Jobs that are still scheduled or in progress won't show up here yet.
Each row shows the job number, job type, technician, scheduled and completed dates, site and customer information, and a Start Invoice link.
Sort, Filter, and Search Jobs
Use the options above the list to narrow it down to the jobs you're looking for.
- Sort By: Change the order jobs appear in. Defaults to Schedule Date.
- Filter By: Narrow the list by status, scheduling type, and other criteria. The button shows how many filters are currently applied.
- Condense Repeat Jobs: Group repeat jobs together instead of listing each occurrence separately.
- From and To Dates: Narrow the list to a specific date range.
TIP: If you can't locate the job you want to invoice, try using global search instead.
Start an Invoice from the Jobs Tab
To start an invoice for a job, simply click the linked “Start Invoice” in line with the job in your jobs list.
To learn more about creating an invoice for a single job, please check our article: Create a One Time Invoice.
Additional Job Options
Each job row gives you more ways to work with that job beyond starting an invoice.
- Click on the job number to view job details.
- Click on the customer name to view customer details.
- Click on "View" to open the job, or click on the arrow next to it for more options: View, Start Job, Complete Job, Edit, Copy Job, Print Job, Email Job, Scheduling, and Invoices.
Rentals Tab Overview
The Rentals sub-tab lists every rental that doesn't have an invoice created yet.
Rentals List
Each row shows the rental number, customer, site, start date, end date (or a Schedule Pick-Up link if the rental is still active), inventory on-site, and a Recurring column.
The Recurring column tells you whether this rental has a recurring invoice template set up. If it shows a day count, like "28 Days," a template exists and is billing on that interval. If it shows "N/A," no recurring invoice template has been set up yet.
Sort, Filter, and Search Rentals
Use the options above the list to narrow it down to the rentals you're looking for.
- Sort By: Change the order rentals appear in. Defaults to Start Date.
- Filter By: Narrow the list by criteria specific to rentals. The button shows how many filters are currently applied.
- Search: Find a rental by rental number, customer name, address, or city.
- Export to Excel: Download the current rentals list as a .csv file.
TIP: If you can't locate the rental you want to invoice, try using global search instead.
Create an Invoice from the Rentals Tab
There are two types of invoices that you can create from the rentals tab:
- Recurring Invoice, for rentals that bill on an ongoing schedule.
- One Time Invoice, for rentals you're billing once.
Which one you use depends on how you bill that rental. If the rental has regular, ongoing service, a recurring invoice keeps billing consistent without manual work each cycle. If it's a single billing event, a one-time invoice is the simpler choice.
To create an invoice for a rental, follow the below instructions:
1. Click into "Accounting" in the top menu.
2. Click into "Rentals."
3. Find the rental you want to invoice.
4. Click on the "Create Recurring Invoice" icon or the "Create One Time Invoice" icon in line with the rental, depending on which type of invoice you need.
To learn more about setting up each invoice type, please check out these articles: Create and End a Recurring Invoice and Create a One Time Invoice.
Additional Rental Options
Each rental row gives you a few other quick actions.
- Click on the "View Rentals" icon to open the rental.
- Click on the "Create Jobs" icon to add a job to the rental.
- Click on "Schedule Pick-Up" in the End column to schedule the rental's pickup.
Frequently Asked Questions (FAQs)
These FAQs address common questions and quick clarifications to help you use this feature with confidence.
What does "N/A" mean under Recurring on the Rentals tab?
It means that rental doesn't have a recurring invoice template set up yet. If you expect a rental to bill automatically on a schedule, check this column first to confirm a template exists.
Why don't I see my estimates in this tab?
New estimates don't appear directly in the Ready for Invoice tab. When an estimate turns into a job or rental, that job or rental shows up in the Jobs or Rentals list once it's done and ready to invoice.
