Add Jobs to a Rental

Rentals in ServiceCore involve inventory you own and rent to customers. Jobs related to a rental include deliveries, pick-ups, one-time services, or additional maintenance performed during the rental period.

As a best practice, add all rental-related jobs directly to the rental. This keeps your scheduling, billing, and reporting organized.

Before You Start

Here are a few things to know before you continue:

  • You must have an existing rental before adding a job. To learn how to create a rental, please review this article.
  • All jobs on a rental will be associated with the same job site location.
  • Rentals cannot contain jobs for more than one job site location.
  • If you use rental rates for inventory items, we recommend creating rental services and assigning them to your inventory products before adding jobs to a rental.
  • The appropriate Job Types must be set up in your account.
  • If the rental includes recurring services (such as weekly cleaning), scheduling a pick-up job may affect future scheduled instances.

Open the Rental

  1. Click “Rentals” in the top menu.
  2. Use the Search bar or Filter to locate the rental.
  3. Click the “View Rental” icon to open the rental.
    • TIP: You can also click the Rental Number to open the rental.


 

After clicking open the rental, you will go to the rental’s overview page.
 

The sections below outline some common job types and when to use each.

Job Scheduling Tips

When adding a job to a rental, consider the following:

  • If the job date is flexible, click “Schedule Suggestion” after selecting a date to view technician availability. To learn more, please review this article about getting schedule suggestions.
  • Mark the job as an Emergency Job when immediate attention is required. This flags the job on the Schedule and in the mobile app.
  • Create a Repeat Job when scheduling recurring services, such as weekly cleaning.
  • If you do not assign a technician, the job will appear as Unassigned on your Schedule.
  • Use Time Windows and Durations to set realistic arrival expectations and allow adequate routing time.
  • Add services using the “What services need to be done?” section so technicians understand the scope of work.
  • Use Driver Notes to provide placement instructions or special requirements.
  • Update the Disclaimer and Customer Signature when required, and check the box to Send Email to Customer if confirmation is needed.

Deliver Additional Units to a Rental

 

Add this job to a rental when a customer needs more inventory for their current rental.

  1. On the rental overview page, scroll and find the Jobs section.
  2. Click the “Create Job” button.



     

  3. Select a Delivery Job Type.
  4. Select a Date for the delivery.
  5.  Assign a Technician, enter a Time Window, and add a job Duration (Optional)



     

  6. Click “Filter” to narrow your list of inventory or use the Search box to find inventory by name.
  7. Click the “View Availability” button for a visual availability display.

  8. Enter the Quantity in line with the inventory product name.



     

  9. Click into “What services need to be done?”, search and select any services needed for the delivery job. These will appear to your technician for this delivery job. (Optional)
  10. Enter Driver Notes, add or update the Disclaimer and Customer Signature, and check the box to Send Email to Customer as confirmation. (Optional)
  11.  Click the “Save” button.



     

The job will now appear on your schedule and on the rental. Once the delivery is completed, the additional inventory will be reflected on the rental overview page.

Schedule a Full Pick-Up Job

 

Add this job to a rental when all units on the rental are being removed from the site.

  1. On the rental overview page, click “Schedule Pick-Up.”



     

  2. Select a Pick-Up Job Type.
  3. Select a Date for the pick-up.
  4.  Assign a Technician, enter a Time Window, and add a job Duration (Optional)



     

  5.  Add the total Quantity of each product on site for the pick-up.



     

  6. Click into “What services need to be done?”, search and select any services needed for the pick-up job. (Optional)
  7. Enter Driver Notes, add or update the Disclaimer and Customer Signature, and check the box to Send Email to Customer as confirmation. (Optional)
  8. Click the “Save” button.



     

If you have recurring services for the rental, a pop-up will appear where you can select to delete the recurring services at the time of scheduling the pick-up or wait until the pick-up is completed to delete the recurring services. You also have the option to remove all non-repeat jobs when ending the rental.
 


 

The job will now appear on your schedule and on the rental. 

Schedule a Partial Pick-Up Job

 

Add this job to a rental when you are removing some, but not all of your products on site.

  1. On the rental overview page, click “Schedule Pick-Up.”



     

  2. Select a Pick-Up Job Type.
  3. Select a Date for the pick-up.
  4.  Assign a Technician, enter a Time Window, and add a job Duration (Optional)



     

  5.  Add the Quantity of each product on site that needed to be picked up.



     

  6. Click into “What services need to be done?”, search and select any services needed for the pick-up job. (Optional)
  7. Enter Driver Notes, add or update the Disclaimer and Customer Signature, and check the box to Send Email to Customer as confirmation. (Optional)
  8. Click the “Save” button.



     

The job will now appear on your schedule and on the rental. 

Schedule a One-Time Service Job

 

Add this job when performing work during the rental period, such as extra cleaning or emergency service.

  1. On the rental overview page, click “Schedule Service.”



     

  2. Select a Service Job Type.
  3. Select a Date for the service.
  4.  Assign a Technician, enter a Time Window, and add a job Duration (Optional)



     

  5. Click into “What services need to be done?”, search and select the service(s) needed for the service job. These will appear to your technician for this service job. 
  6. Enter any Driver Notes your technician should know for this service. (Optional)
  7. Choose the Quantity of each product on site that needs to be serviced. If using itemized inventory, you can search and select the serial number(s) to be serviced.



     

  8. Add or update the Disclaimer and Customer Signature, and check the box to Send Email to Customer as confirmation. (Optional)
  9.  Click the “Save” button.



     

The job will now appear on your schedule and on the rental. 

Next Steps

Once a job has been added to a rental:

  • The job appears on the rental overview page.
  • The job appears in the customer’s Job list.
  • You can edit, reschedule, cancel, or invoice the job.

Keeping all rental-related jobs connected to the rental improves visibility for scheduling, billing, and reporting.
