Deposit Report Overview

The Deposit Report provides a detailed view of payments recorded in ServiceCore, helping you track and review payment activity across payment methods, divisions, and customers. This report is designed to give both high-level payment totals and detailed transaction-level insight, including payments, credit memos, and refunds. Use this report to understand how and when payments were received, verify transaction details, and reconcile payment activity over a selected period of time.

Before You Start

  • This report focuses on payment-related transactions, including payments, credit memos, and refunds. It does not include job or invoice data.
  • To see if you have access to this report in ServiceCore, please check out this article on user permission levels.

Key Features

  • Summary: Displays the total number and amount of payments.
  • Filtering Options: Users can filter results by selecting options such as date range, payment method, division, customer, and transaction type.
  • Deposit Detail Table: Provides additional information about each transaction with key payment details, allowing you to review individual payments, credit memos, or refunds.

Run the Deposit Report

  1. Click “Reports” in the top menu.
  2. Scroll down and find the Deposit Report listed under Accounting Reports.
  3. Click the name of the report or the “Open Report” icon to open and run the report.

Deposit Report Summary

Once the report loads, the summary at the top gives you a quick snapshot of payment activity.

This section provides key insights, including:

  • Total ($): Total amount of the payments.
  • Total (#): Total number of payments.
  • Total ($) by Payment Method: Pie chart that shows the total dollar amount of payments grouped by payment method.
  • Total (#) by Payment Method: Pie chart that shows the total number of payments by payment method.

Deposit Report Filters & Table

Report Filters

On the right-side of the report, there are options to  select a timeframe and filter results.

  • Issued At: Filter payments based on their issued date. This defaults to last month.
  • Payment Method: Narrow results by their payment method.
  • Funding Date: Filter payments based on their funding date.
  • Division: Filter results by selected company divisions.
  • Number: Show results for specific payment numbers.
  • Transaction Type: Select which transaction types appear in the report. Payment is selected by default, but you can also include credit memos and refunds.
  • Customer: Filter report by selected customers.
  • Company Name: Narrow list of payments by company. 
    • This filter is only applicable if you manage multiple companies in ServiceCore.

Deposit Detail Table

In addition to the main summary towards the top of the report, there is a table that provides a detailed breakdown of each transaction.

Sort a Section of the Report

After using the filters based on your preferences, you have additional options to sort the data that is presented in the report in the different report sections. 

To sort the report summary graph sections:

  1. Hover over the section so a menu appears in the top right corner of the section.
  2. Click the three vertical dots.
  3. In the menu that appears, hover over “Sort.”
  4. Select your “Sort By” preference.
     

 

The table in the report works a little differently as you can use the headers of the columns to sort.

To sort sections using the column headers:

  1.  Click the options icon next to the header.
  2. Select your sort preference or click the gear icon for additional options.
    • Each column can be sorted either alphabetically A-Z or Z-A OR numerically ascending or descending. For instance, the Payment Amt column will sort numerically while the Customer column will sort alphabetically.
       

Export or Send the Deposit Report

Export the Report

Once you have a section of your report displaying the information you want, you can download it for your records. 

  1. Hover over the section so a menu appears in the top right corner of the table.
  2. Click the three vertical dots.
  3. In the menu that appears, hover over “Export.”
  4. Select your file preference in the list of options that appear in the dropdown and the report will download in the file format you selected.
    • When exporting as a PDF, you can choose Portrait or Landscape layout.
       

Please Note: You can export up to 1 million rows at a time. If your table contains more than 1 million rows, we recommend using filters to break the data into smaller, exportable chunks.

Send the Report

In addition to downloading a section of the report to your computer, you can also email a section.

  1. Hover over the section so a menu appears in the top right corner of the table.
  2. Click the three vertical dots.
  3. In the menu that appears, hover over “Export.”
  4. Click “Export…” at the bottom of the list under the Send section.
     


     

  5. In the pop-up that appears, click the “Email” icon.
     


     

  6. Enter the email address of the recipient.
  7. Click “Export” to send an email with the report attached.
     

Please Note: On the final screen, you can also customize the email subject, select specific attachments and file types, or send the report as a .zip file.
