Sales by Customer Report Overview

The Sales by Customer Report helps you identify your top customers and understand purchasing behavior across your customer base. Use this report to analyze individual customer purchasing activities, track trends, identify opportunities, and make data-driven decisions to support growth and profitability.

Key Features

  • Summary: Provides an overview of total sales, including paid and unpaid invoices and sales by division.
  • Filtering Options: Narrow results using filters such as date range, organization, division, and payment terms.
  • Report Tables: Provide additional billing information at the customer and billing address level.

Run the Sales by Customer Report

  1. Click “Reports” in the top menu.
  2. Scroll down and find Sales by Customer listed under Customer Service and Sales Reports.
  3. Click the name of the report or the “Open Report” icon to open and run the report.
     

Sales by Customer Report Summary

Once the report loads, you’ll see a summary of sales performance and invoice status.

This section provides key insights, including:

  • Total Paid Invoices: Displays the total dollar amount of invoices that have been fully paid.
  • Total Unpaid Invoices: Shows the total dollar amount of invoices that are currently unpaid.
  • Total Sales: Represents the combined total of paid and unpaid invoices.
  • Paid vs. Unpaid: Pie chart showing paid and unpaid invoices, allowing you to compare collected revenue and outstanding balances.
  • Sales by Division: Pie chart showing total sales by division to illustrate how revenue is distributed across your business. 

Sales by Customer Report Filters

On the right-side of the report, there are options to filter the report.

  • Issued At: Select a date range for sales. This defaults to last month.
  • Organization: Show results for specific company/organization names of the customers.
  • Division: Narrow results by division.
  • Customer Payment Term: Filter results by specific customer payment terms.
  • Invoice Payment Term: Filter results by specific invoice payment terms.
  • Company Name: Narrow list of customers by company. 
    • This filter is only applicable if you manage multiple companies in ServiceCore.

Sales by Customer Report Tables

Total by Customer Table

This table provides details for each customer in the report including payment terms, total unpaid and paid invoices, and total sales. 

Total by Billed Address Table

This table provides details for each billed address in the report, including location details, total unpaid and paid invoices, and total sales.

TIP: Each Customer Number is hyperlinked in both tables, so if there is a customer listed that you would like to take a closer look at, you can hover over the customer number and click the associated link to open its customer details page.

Collapsing Total by Billed Address Table

The Total by Billed Address table displays basic details for each billed address in the report. To collapse details for a specific billed address, click the “-” icon next to the Customer Number. This will collapse the additional details on the right of the table for the billed address. Clicking the “-” icon at the top of the column will collapse details for all billed addresses in the table.

Please Note: In general, when a “-” icon appears, it means that there is an opportunity to collapse details for a given section or row.

Sort a Section of the Report

After applying filters, you can further sort the data in each report section.

To sort the Sales by Division pie chart:

  1. Hover over the section so a menu appears in the top right corner of the section.
  2. Click the three vertical dots.
  3. In the menu that appears, hover over “Sort.”
  4. Select your “Sort By” preference.



     

The tables in the report work a little differently as you can use the headers of the columns to sort.

To sort sections using the column headers:

  1.  Click the options icon next to the header.
  2. Select your sort preference or click the gear icon for additional options.
    • Each column can be sorted either alphabetically A-Z or Z-A OR numerically ascending or descending. For instance, the Total Unpaid Invoices column will sort numerically while the Customer Name column will sort alphabetically.
       

Export or Send the Sales by Customer Report

Export the Report

Once you have a section of your report displaying the information you want, you can download it for your records. 

  1. Hover over the section so a menu appears in the top right corner of the table.
  2. Click the three vertical dots.
  3. In the menu that appears, hover over “Export.”
  4. Select your file preference in the list of options that appear in the dropdown and the report will download in the file format you selected.

    • When exporting as a PDF, you can choose Portrait or Landscape layout.


Please Note: You can export up to 1 million rows at a time. If your table contains more than 1 million rows, we recommend using filters to break the data into smaller, exportable chunks.

Send the Report

In addition to downloading a report section to your computer, you can also email a section.

  1. Hover over the section so a menu appears in the top right corner of the table.
  2. Click the three vertical dots.
  3. In the menu that appears, hover over “Export.”
  4. Click “Export…” at the bottom of the list under the Send section.



     

  5. In the pop-up that appears, click the “Email” icon.



     

  6. Enter the email address of the recipient.
  7. Click “Export” to send an email with the report attached.


Please Note: On the final screen, you can also customize the email subject, select specific attachments and file types, or send the report as a .zip file.
