After creating customers in ServiceCore, you will need to start creating sites. Sites are the service locations of customers that you will associate with job, rentals, inventory, and invoices and are the physical locations where services are performed.
Sites can be locations with or without a mailing address and as long as the site has latitude and longitude GPS coordinates, you can also use it for routing and route optimization.
Before You Start
Here are a few things to know before you continue:
- To see if you have access to this feature in ServiceCore, please check out this article on user permission levels.
- Before creating a site, a customer that will be associated with the site must be created. If you are new to adding customers in ServiceCore, we suggest reviewing this article on creating customers.
- If you decide to give a site a name, each site must have a unique site Name (no duplicates.) If you choose to not name your sites, the site number will be used in place of a name on service tickets, invoices, and jobs.
Site Terms to Know
- Address: This is the site address used for display purposes that will appear on jobs, rentals, service tickets, emails, and PDFs.
- Location: The physical location of the site based on latitude and longitude coordinates that are used for routing and directions.
Add a Site
Adding a new Site starts from a customer’s profile.
- Add a Customer or go to an existing customer’s profile.
- Click “Sites.”
-
Click “Add New Site.”
- Choose a site Type in the drop-down menu.
- Enter a Site Name. (Optional)
-
Add an Address for the Site or check the box for “Same as Owner Billing Address” if that is the Site Address.
Please Note: The Address you use for the Site is what will display on jobs, rentals, service tickets, emails, and PDFs.
Below Address is where you will set the Site’s location.
Set the Site’s Location
The location of the site is the physical location where jobs and services will be performed. The location is based on the latitude and longitude coordinates for routing and directions.
There are three options to set a site’s location that you can use, depending on what information you have available:
- Use Calculate Coordinates
- Enter Latitude and Longitude Manually
- Use the Map Search Box
Use Calculate Coordinates
-
Click “Calculate Coordinates.”
- Wait for the Latitude and Longitude fields to populate.
-
Confirm the red pin on the map is in the correct spot and use the Satellite view if needed.
- If needed, zoom in on the map and drag the pin to adjust.
-
When the pin is moved, the latitude and longitude will update automatically.
- Do not click Calculate Coordinates once you have moved the pin as it will reset to the address you entered.
Enter Latitude and Longitude Manually
- Type in the Latitude and Longitude values.
-
Confirm the red pin on the map is in the correct spot and use the Satellite view if needed.
- If needed, zoom in on the map and drag the pin to adjust.
-
When the pin is moved, the latitude and longitude will update automatically.
- Do not click Calculate Coordinates once you have moved the pin as it will reset to the address you entered.
Use the Map Search Box
If the site does not have a traditional street address, such as a new construction site, an open lot, or a rural location, you can set the location by searching inside the map.
- Click into the map Search Box and type a nearby address or landmark.
-
Select the correct result from the list.
- Zoom in and adjust the pin as needed.
-
When the pin is moved, the latitude and longitude will update automatically.
- Do not click Calculate Coordinates once you have moved the pin as it will reset to the address you entered.
Complete and Save the Site
After setting your site’s location, there are a couple more optional sections that you can complete before saving.
- Check the box next to Bill to Service Location if the Address for the Site should also be the billing address.
- Select a Default Tax Code from the drop-down list if the Site should have a specific tax code applied to it.
-
Add Site Contacts from the list of customer contacts that appear or add a new contact.
- Please Note: The difference between a Customer contact and a Site contact is that Site contacts receive text messages if you’re on the Pro Plan, and Customer contacts won’t.
- Add Notes for the Site such as store entry codes, navigation tips, or other site-specific information.
- Add Internal Notes for you and your team when reviewing the Site on ServiceCore’s web platform (not the mobile app.)
-
Click “Add New Site” to save.
FAQs
Do sites have to have postal addresses?
Nope! We know that sometimes you do work in places that don't yet exist on any map, such as during new construction or when your job locations take you to the middle of nowhere. When this occurs, use the Location Map Search Box to plot the site location.
Why do I get different results from address auto-complete and in the map search box?
That's a great question! The address information provided from third-party mapping providers is not under the control of ServiceCore. Sometimes when you start typing into the address field in the "Address" section of the "Add New Site" form and get a matching address suggestion, the red pin will land in a different location than if you use the Location Map Search Box.
Because of the potential for differences, it's important to always verify the pin is in the correct location by visually inspecting the pin location on the map and dragging and dropping the pin to the correct location.
