Export and Back Up Your Account Data

ServiceCore makes it easy to export your account data to use with other tools as needed to run your business.

This is useful when you need to analyze your business performance outside of ServiceCore, share financial records with your accountant, prepare reports for tax season, send email announcements to your customer list, or keep local backups of your data for your own records long-term.

Before You Start

Here are a few things to know before you continue:

  • To see if you have access to this feature in ServiceCore, please check out this article on user permission levels.
  • Account data is exported in a .CSV file format. 
    • You must have the ability to open and edit spreadsheets on your device in order to review the downloaded data.
  • Some exports download immediately while others are sent to your email as a download link. ServiceCore will let you know where to access your downloaded file(s) as you export them. 
  • If your account is inactive or your subscription has expired, you won't be able to access or export your account data.
  • If you want to back up/store your data, you'll need to have an external program, software, or hard drive where you can store your exported .CSV files.

Export Your Data

You can export 9 different data types from 4 areas in your ServiceCore account:

  1. Customers

  2. Rentals



    TIP: You can also download rentals data via Accounting.

  3. Invoices (via Accounting)

  4. Payments (via Accounting)

  5. Credit Memos (via Accounting)

  6. Refunds, both new and legacy (via Accounting)

  7. Jobs (via Reports)

  8. Estimates, new but not legacy (via Reports)



    TIP: You can export Legacy Estimates via Accounting.

  9. Reports information in general (any report can be exported in full as well as specific tables in a report)

TIP: When you click "Export to Excel", the file will either auto-download straight to your device or be sent to you via email where you'll need to click a link to download the file to your device.

Export Data Not in a Report 

To export customer, rental, invoice, payment, credit memo, refund, and legacy estimate data, just follow the instructions below:

  1. Click "Export to Excel" wherever you're starting from. (See above screenshots.)
  2. Invoice, payment, credit memo, and legacy estimate data will all auto-download. You'll need to open your device's Downloads folder in order to view/open the file.



    Customer, rental, and both new and legacy refund data will all be sent to the email address in your ServiceCore profile. 


    You'll need to click the download link in the email to download and view the file(s).

Export All Data in a Report

To export job and new estimate data, or any of the available reports in ServiceCore, just follow the instructions below:

  1. From inside the report you want to export, hover over any of the data tables in the report.
  2. Click on the 3 horizontal dots that appear in the top right corner of the table.

  3. Hover over Export.
  4. Click on "Export" or "Schedule exports...".

  5. In the Attachments section, click on the main dropdown.
  6. Select "Entire workbook" from the options.

  7. After you set up the rest of the fields as needed, click "Export".

    TIP: You may want to change the file type to "Excel" instead of "PDF".

The report will auto-download to your device in whatever file type format you selected. You'll need to open your device's Downloads folder in order to view/open the file.

Export Partial Data in a Report

Most of the time you download a report, you'll want to download all the information in the entire report and not just a single table's worth of data. 

However, if you're interested in only downloading parts of a report for further analysis or long-term storage, just follow the instructions below:

  1. From inside the report you want to export from, hover over the specific data table you want export from the report.
  2. Click on the 3 horizontal dots that appear in the top right corner of the table.

  3. Hover over Export.
  4. Click on one of the options under the Download section.

    Please Note: You're only able to download the first million rows within a table.

The report will auto-download to your device in whatever file type format you selected. You'll need to open your device's Downloads folder in order to view/open the file.

Back Up Your Data

ServiceCore stores your data securely on our servers, but keeping your own copies gives you an extra layer of protection. 

We recommend exporting and backing up your data on a regular basis, such as monthly or quarterly, so you always have a recent copy available if you need it.

If you want to keep backups of your exported data, you can store your .CSV files using any of the following options:

  • Online backup services (cloud storage)
  • External hard drives
  • Flash drives (like USB sticks)
  • Time machine (for Apple Mac users)
  • Network storage at your place of business or accessible via a VPN connection
