The Customer Status Report gives you a high-level snapshot of your customer base and their engagement with your business. Use this report to monitor customer statuses, review contact information, and track when customers were created. This report is useful for businesses with large or recurring customer populations, helping you identify trends, support targeted outreach, and optimize customer retention efforts.

Key Features

Run the Customer Status Report
- Click “Reports” in the top menu.
- Scroll down and find the Customer Status Report listed under Customer Service and Sales Reports.
- Click the name of the report or the “Open Report” icon to open and run the report.
Customer Status Report Summary Graphs
Once the report loads, you’ll see an overview of customers’ statuses and their creation dates.
This section provides key insights, including:

# Customers by Status
- This pie chart shows a breakdown of your customers’ current statuses.

# Customers by Creation Date
- This bar graph provides a visual representation of when customers were created over a selected period of time.
Customer Status Report Filters
Report Filters
At the top of the report, there are options to filter the data.
- Created at: Narrow results by setting a date range for when a customer was created. This defaults to all time.
- Customer Name: Filter results by customer name.
- Billing City: Narrow results by billing city.
- Billing State: Narrow results by billing state.
- Recurring Invoice: Filter report by whether a customer has a recurring invoice.
In addition to the filters that appear at the top of the report, you can select “All Filters” to access additional filtering options.
Additional filters include:
- Customer Status: Show results for only specific customer statuses.

Company Name: Narrow list of customers by company.
- This filter is only applicable if you manage multiple companies in ServiceCore.
- Customer Stage: Narrow the list by specific customer stages.
- Customer Payment Term: Filter results by specific payment terms.
- Organization: Show results for specific company/organization names of the customers.
Customer Status Report Tables
Customer Details Table
In addition to the main summary at the top of the report, the Customer Details table provides additional information about each customer, including organization, location, and billing details.
Customer Contacts Table
The Customer Contacts tab that will provide a detailed breakdown of all the associated customer contacts.
TIP: Each Customer Number is hyperlinked in both tables, so if there is a customer listed that you would like to take a closer look at, you can hover over the customer number and click the associated link to open its customer details page.
Expanding Customer Contacts Table
The Customer Contacts table displays basic details for the customer included in the report. To view contact details for a specific customer, click the “+” icon next to the Customer Number. This will expand the contact details for that customer to the right. Clicking the “+” icon at the top of the column will expand contact details for all customers in the table.
Please Note: In general, when a “+” icon appears, it means that there is an opportunity to expand additional details for a given section or line item.
Sort a Section of the Report
After applying filters, you can further sort the data in each report section.
To sort the report summary graphs:
- Hover over the section so a menu appears in the top right corner of the section.
- Click the three vertical dots.
- In the menu that appears, hover over “Sort.”
- Select your “Sort By” preference.
The tables in the report work a little differently as you can use the headers of the columns to sort.
To sort sections using the column headers:
- Click the options icon next to the header.
- Select your sort preference or click the gear icon for additional options.
- Each column can be sorted either alphabetically A-Z or Z-A OR numerically ascending or descending. For instance, the Invoiced Customer Number column will sort numerically while the Customer Name column will sort alphabetically.

Export or Send the Customer Status Report
Export the Report
Once you have a section of your report displaying the information you want, you can download it for your records.
- Hover over the section so a menu appears in the top right corner of the table.
- Click the three vertical dots.
- In the menu that appears, hover over “Export.”
- Select your file preference in the list of options that appear in the dropdown and the report will download in the file format you selected.
- When exporting as a PDF, you can choose Portrait or Landscape layout.
- When exporting as a PDF, you can choose Portrait or Landscape layout.
Please Note: You can export up to 1 million rows at a time. If your table contains more than 1 million rows, we recommend using filters to break the data into smaller, exportable chunks.
Send the Report
In addition to downloading a report section to your computer, you can also email a section.
- Hover over the section so a menu appears in the top right corner of the table.
- Click the three vertical dots.
- In the menu that appears, hover over “Export.”

Click “Export…” at the bottom of the list under the Send section.

In the pop-up that appears, click the “Email” icon.
- Enter the email address of the recipient.

Click “Export” to send an email with the report attached.
Please Note: On the final screen, you can also customize the email subject, select specific attachments and file types, or send the report as a .zip file.
