Manage Inventory While Offline Using the Mobile App

Offline mode in the ServiceCore Mobile App allows technicians to manage inventory in areas without cellular service or internet connection. Scan barcodes, capture GPS coordinates of inventory, and select items during rental jobs are all possible while offline. Rural areas, off-grid situations, underground, out on the ocean, or out in the middle of nowhere? No problem.

Before You Start

Here are a few things to keep in mind before you manage inventory while in offline mode:

  • Please read over offline mode FAQs so you understand when and how offline mode works
  • Offline mode only works when using the ServiceCore mobile app (the app that you install on your mobile device)
  • You must have the ServiceCore Mobile App installed on your mobile device
  • App permissions must be turned on for:
    • Camera
    • Storage
    • Your Location

  • All users must have a ServiceCore account in order to login to the Mobile App
  • Only scheduled users will be able to manage inventory for rental jobs using the Mobile App (non-scheduled users cannot see other users's jobs in the Mobile App)

Before You Go Offline

Follow these steps while you have cellular service, internet service or WiFi. It's important that these steps are done before you go offline.

Add Inventory to Your ServiceCore Account

Before you can manage inventory while offline, first you need to add inventory using the ServiceCore Web App. Here's how:

If you manage itemized inventory

  1. Create your Itemized Inventory Product and Add Inventory Items
  2. Have each technician that performs rental jobs download and install the ServiceCore Mobile App
  3. Create a Rental and assign it to a technician so it will show on their schedule once they login to the Mobile App

If you manage non-itemized (bulk) inventory

  1. Add rental inventory
  2. Create a Rental and assign it to a technician so it will show on their schedule once they login to the Mobile App
  3. Have each technician that performs rental jobs download and install the ServiceCore Mobile App

Download Inventory to Your Mobile Device

Before going offline, and while you still have cellular, internet, or Wifi service, follow these steps everyday:

  1. Launch the ServiceCore mobile app on your phone or tablet
  2. Log in with your Email address and Password
  3. If you would like to use your Touch ID / Face ID for future times you login, tap Yes on the alert message that appears. If not, tap No.
  4. Wait while the app builds your profile
  5. In the header, tap on the menu icon (three stacked lines, aka the hamburger icon) in the upper left corner of the screen
  6. In the menu that appears, tap Inventory

  7. Tap the 3 vertical dots in the upper right corner

  8. Tap Download Inventory

  9. Tap Download Now in the pop-up that appears
  10. Wait while your inventory downloads

Once you've followed the steps above, you're ready to go offline!

Associate Barcodes or QR Codes to Inventory Items while Offline

If you need to associate barcodes or QR Codes to Inventory Items while offline, follow these steps:

  1. Follow the steps in this article to associate barcodes and QR Codes to inventory Items
  2. Once you've finished associating barcodes or QR codes, you will see the offline banner across the bottom of the screen with your count of unsynced changesmceclip3.png
  3. Once you are back online, tap the Sync Changes button at the bottom of your screen to send the barcode and QR code information to the ServiceCore Web App

When you associate a new barcode or QR code to an item by scanning it, the GPS coordinates of where the scan occurred will automatically be captured. If you scan your barcode or QR code stickers before attaching them to an inventory item, you should re-scan the sticker once it's on the inventory item so you have an accurate GPS location.

Log GPS Coordinates of Items for Inventory Audits

Follow these steps if you want to log GPS coordinates of inventory when you are not performing a rental job. For example while conducting an inventory audit or while visiting job sites to verify inventory location.

For Itemized Inventory with Barcodes

  1. Navigate to the Inventory section of the ServiceCore Mobile App
  2. Tap the barcode icon next to the search box

  3. Scan the barcode or QR code
  4. Wait for the scan to finish
  5. Scroll down to the Location section to view the new Latitude and Longitude (the location was captured during the scan)

  6. To view the location on a map, you will need to be Online again
  7. After you have updated the GPS of this item, you will see the offline banner across the bottom of the screen with your count of unsynced changes

  8. Once you are back online, tap the Sync Changes button at the bottom of your screen

The item location will appear in the ServiceCore Web App once you have synced your changes.

For Itemized Inventory without Barcodes

  1. Navigate to the Inventory section of the ServiceCore Mobile App
  2. Enter the full or partial serial number into the Search box

  3. Tap on the item you're looking for
  4. Tap the Log GPS Location button

  5. Wait for the GPS to be located

  6. Scroll down to the Location section to view the new Latitude and Longitude (the location was captured during the scan)

  7. To view the location on a map, you will need to be Online again
  8. After you have updated the GPS of this item, you will see the offline banner across the bottom of the screen with your count of unsynced changes

The item location will appear in the ServiceCore Web App once you have synced your changes.

Log GPS Coordinates of Items During a Job

For Itemized Inventory with Barcodes

  2. After you have finished the job, you will see the offline banner across the bottom of the screen with your count of unsynced changes

For Itemized Inventory without Barcodes

  2. After you have finished the job, you will see the offline banner across the bottom of the screen with your count of unsynced changes

For Bulk (Non-Itemized) Inventory

Capturing GPS coordinates for non-itemized inventory is not currently possible. However, the location of the rental job site will show for bulk, non-itemized products. To view this information:

  1. Navigate to Settings > Inventory in the ServiceCore Web App
  2. Click Filter by
  3. Click the Itemized dropdown
  4. Choose Non-itemized from the list of options
  5. Click Close
  6. Location the item you are looking for
  7. Click on Open Rentals to view the job sites where this inventory is located
