Use the ServiceCore Mobile App to add, update, and track inventory while completing jobs in the field. Managing inventory in the Mobile App allows you to accurately record deliveries, pickups, services, and exchanges as work is completed.
Before You Start
Here are a few things to know before you continue:
- You must have the ServiceCore Mobile App installed and be logged in on your device.
- Inventory only appears on jobs where it is required. It will not appear on jobs such as septic pumping, grease trap cleaning, or other service work on customer-owned equipment.
- If you may lose cell service or Wi-Fi while working, review offline functionality and download any required inventory before starting your route.
- Confirm that all itemized inventory using barcodes or QR codes has been scanned and added.
- Inventory can only be recorded after the job has been started and is “In Progress.”
Inventory Types
Inventory may be tracked in different ways depending on how it is set up.
- Non-Itemized Inventory (Bulk Quantity)
- Itemized Inventory with Barcodes or QR Codes
- Itemized Inventory without Barcodes or QR Codes
Access Inventory in a Job
For jobs that include inventory, such as portable toilets, dumpsters, or hand-washing stations, an Inventory section will appear within the job.
Inventory becomes available after the job has been started.
To access inventory:
- Open and start the job in your Schedule.
- Scroll to the “Inventory” section.
You will see inventory quantities and, for itemized inventory, a list of individual items with timestamps.
How Inventory is Tracked
Inventory in the Mobile App may be tracked in different ways depending on how it is set up:
- Non-Itemized Inventory is tracked by quantity (e.g. total units on site).

Itemized Inventory is tracked by individual units. Individual units can be managed by:
- Scanning barcodes or QR codes
- Selecting items manually using serial numbers
Non-Itemized Inventory
Non-itemized inventory is tracked by quantity rather than individual units. This is commonly used for items like bulk rentals or equipment that is not tracked by serial number. Non-itemized inventory is not scanned or selected like itemized inventory. Instead, it is verified and documented as part of completing the job.
When working with non-itemized inventory:
- Review the quantity listed on the job.
- Confirm the quantity matches what is on site.
- Use photos to document the inventory on site.
- Add notes to provide additional context about changes or issues.
Itemized Inventory
Itemized inventory tracks individual units instead of quantities. Each item is recorded separately and may include details such as location, condition, and usage.
When working with itemized inventory:
- Update an item’s location.
- Record condition and usage changes.
- Review the list of items to confirm all inventory has been accounted for.
The way you update inventory depends on whether you scan items or select them manually, as well as the type of job you are completing.
Scan Barcodes or QR Codes
If your inventory uses barcodes or QR codes, you can scan each item using your device’s camera.
When scanning inventory:
- Each scan adds or updates the item in the Inventory section.
- A GPS location and timestamp is recorded automatically.
- Scanning is typically the fastest way to update inventory during jobs.
Select Inventory Manually
If you are working with itemized inventory, but not scanning, you will select inventory manually.
When selecting inventory manually:
- Choose items from the available inventory list.
- Add items to the job or update existing items.
- Use the map pin icon to update an item’s location when needed.
Manual selection is commonly used when barcodes are not available or cannot be scanned.
Update Inventory During a Job
Inventory actions vary depending on the job type and how inventory is tracked. You may be working with itemized inventory, non-itemized inventory, or both.
To take action on inventory when completing a job, you will primarily work in the Inventory section of the job.
- Start the job.
- Scroll to the Inventory section.

Delivery
During delivery jobs, you are adding inventory to the site.
Itemized Inventory with Barcodes or QR Codes

Tap “Scan Barcode.”

Your device's camera will turn on and you'll need to center your barcode/QR code in the white box.
- TIP: Depending on your device, the app will automatically scan and enter the barcode/QR code. If this doesn't happen after a few seconds, tap the orange checkmark in the bottom.
- After the scan has been completed, you will see the item you listed or updated in the inventory section, with a GPS timestamp.

Repeat for all items being delivered.
Itemized Inventory without Barcodes or QR Codes

Tap the “magnifying glass” icon.
- Select the check box for the correct serial numbers.

Tap “Add Selected Items” to add to the job.

Tap the map “pin” icon next to an inventory item to update the GPS timestamp.
- Repeat for all items being delivered.
Non-Itemized Inventory
- Review the quantity listed in the job.
- Confirm and add the correct number of items that have been delivered.
- Use photos and notes to document the delivery and any differences or issues.
Service
During service jobs, you are updating inventory already on site.
Itemized Inventory
As first step, update the inventory item’s GPS timestamp by either:
- Scanning its barcode or QR code
- Tapping the map “pin” icon

After updating, follow these steps to enter its Condition and Usage:

In your Inventory list, tap the “>” icon for the item.
- Tap Condition to edit or add a condition of the item.

Tap under “Usage” to update the usage of the item.
- Select the Usage.
- Tap “OK.”

Tap “Save.”
- Repeat these steps for each item being serviced.
Non-Itemized Inventory
- Confirm the quantity on site matches.
- Document any differences or important details by using notes and taking photos.
Exchange
During exchange jobs, you are delivering new inventory and picking up existing inventory in the same job.
Itemized Inventory

Scan or select items being delivered.

Scan or select items being picked up.
- Update Condition and Usage for each item as needed (same process as service jobs).
- Confirm both delivery and pickup actions are completed.
Non-Itemized Inventory
- Review the Delivery quantity and Pick-Up quantity in the job.
- Confirm both quantities are accurate.
- Document any differences or important details by using notes and taking photos.
Pick-Up
During pick-up jobs, you are removing inventory from the site.
Itemized Inventory
- Scan or select items being picked up.
- Update Condition and Usage as needed (same process as service jobs).
- Confirm all items being removed are accounted for.
Non-Itemized Inventory
- Confirm the number of items being picked up matches the job.
- If anything is missing or different, document details using notes and taking photos.
Get Directions to Itemized Inventory Items
If you need help locating an itemized inventory item onsite, you can navigate to its last known location.
Get Directions to an Item on a Job
Getting directions to an item on a job is helpful when inventory is difficult to locate or spread across a large site.
To get directions to an item:
- Open the “Inventory” section within a job.

Locate the item and tap its “>” icon.

On the item’s details page, tap “Get Directions.”
- Navigate to the location.
Get Directions Using Inventory List
You can access inventory outside of a job using the Inventory list in the Mobile App.
To get directions to items separate from a job, follow the steps below:

Tap the “menu” (three lines) icon.

Tap “Inventory."

Use the search field at the top to quickly find the product or scroll until you find it. Tap on the product to open its list of items.

Tap on the item you are looking for.

Scroll down to bottom of the item's details and tap "Get Directions."
- Navigate to the location.
Inventory and Offline Mode
The Mobile App supports inventory workflows while offline.
- Download inventory before working in areas without service.
- You can continue to add and update inventory while offline.
- Updates will sync automatically once your device reconnects.
